Job summary

Archway Recruitment is working with a respected public sector organisation in Wellington, New Zealand, to appoint an Executive Support Co-ordinator. You will provide high-quality executive and business support to senior leaders, helping them stay informed and focused on strategic priorities.

In this busy role you will manage complex calendars, coordinate governance meetings, prepare papers and minutes, and support programme workstreams across the organisation.

Qualifications

  • Proven experience providing executive support to senior leaders in a complex organisation.
  • Strong organisational and coordination skills with meticulous attention to detail.
  • Experience managing multiple priorities while maintaining confidentiality.
  • Excellent written and verbal communication.
  • Stakeholder management and relationship-building experience.
  • Experience supporting governance groups or workstreams.
  • Public sector experience advantageous.

Responsibilities

  • Manage complex calendars, inboxes, meetings, travel arrangements, expenses, and correspondence.
  • Coordinate governance meetings, workshops, and leadership forums.
  • Prepare agendas, meeting papers, minutes, action registers, and decision records.
  • Support programmes and workstreams with coordination and reporting.
  • Track actions, milestones, risks, issues, dependencies, and deadlines.
  • Liaise with diverse internal and external stakeholders.
  • Support organisational events and meetings.
  • Contribute to continuous improvement of business support practices.
  • Provide flexible support across teams as priorities evolve.

You will provide proactive support to senior leaders, helping them manage priorities, governance commitments, key relationships, and programme activity, while contributing to a collaborative business support function that plays a critical role across the organisation.

The Role

As Executive Support Co-ordinator, you will provide high-quality executive and business support to senior leaders, ensuring they are well prepared, informed, and able to focus on strategic priorities.

Key Responsibilities Include
  • Managing complex calendars, inboxes, meetings, travel arrangements, expenses, and correspondence
  • Coordinating governance meetings, workshops, and leadership forums
  • Preparing agendas, meeting papers, minutes, action registers, and decision records
  • Supporting programme and workstream activities through effective coordination and reporting
  • Tracking actions, milestones, risks, issues, dependencies, and deadlines
  • Liaising with a diverse range of internal and external stakeholders
  • Supporting organisational events, engagements, and meetings
  • Contributing to continuous improvement initiatives and effective business support practices
  • Providing flexible support across teams as organisational priorities evolve
Role Requirements
  • Proven experience providing executive support to senior leaders within a complex organisation
  • Strong organisational and coordination skills with exceptional attention to detail
  • Experience managing multiple priorities while maintaining confidentiality and professionalism
  • Excellent written and verbal communication skills
  • Strong stakeholder management and relationship-building capability
  • Experience supporting programmes, projects, governance groups, or workstreams
  • Advanced Microsoft 365 skills and confidence using digital systems and collaboration tools
  • The ability to work proactively, anticipate needs, and identify solutions before issues arise
  • Public sector experience or an understanding of government environments will be advantageous
