Job summary

Chorus NZ Limited in Wellington is seeking an proactive Executive Assistant to provide dedicated support to the executive team and their wider groups, ensuring efficiency and effectiveness across the organisation.

You will anticipate needs, manage diaries, coordinate communications, prepare reports, and help coordinate events, budgets and travel, while building trusted relationships with internal and external stakeholders in a collaborative, hybrid work environment.

Qualifications

  • Experience supporting executive or senior leaders in a complex org
  • Experience in administration, project coordination, and event management
  • Strong MS Office skills including PowerPoint, Excel and Outlook

Responsibilities

  • Operate as a trusted business partner taking tasks end to end and understanding why
  • Provide executive support, manage the diary, handle communications and filing
  • Attend meetings, take notes, follow up on actions and prepare presentations/reports
  • Monitor budgets, expenses, credit cards and travel arrangements

Your Key Responsibilities Would Include
  • Operating not just as an EA, but a trusted business partner who takes ownership of tasks from end to end and understands why.
  • Providing executive support, managing the diary and ensuring preparedness for commitments while handling internal/external communications, including emails while managing document filing & preparation.
  • Attending meetings, taking notes, following up on action items and control agendas, along with prep of presentations or reports.
  • Monitoring and management of budgets - including expenses, credit card claims and travel arrangements.

To Step Into This Role, You Will Have
  • Demonstrated experience supporting Executive, GM or Senior Leadership-level leaders within a complex organisation
  • Proven track record in administration, project coordination, and event management
  • Strong proficiency in Microsoft Office, including PowerPoint, Excel, and Outlook.
