Job summary

Air New Zealand, based at our Auckland City office, is seeking a proactive Personal Assistant to support a number of senior leaders. You will manage calendars, travel arrangements and expenses, ensuring leaders stay organized and focused on strategic priorities.

You will join a collaborative team across the portfolio, handling meetings, onboarding, and confidential communications with discretion. Strong MS Office skills and a proactive, adaptable mindset are essential.

Qualifications

  • Proven experience as a Personal Assistant, supporting senior leaders.
  • Excellent communication and relationship-building skills.
  • Proficient in Microsoft Office with strong organizational abilities.
  • Ability to handle confidential information with discretion.
  • Collaborative team player with proactive mindset.

Responsibilities

  • Manage complex calendars, inboxes, travel arrangements and expenses, ensuring leaders are organised and strategic.
  • Coordinate meetings and events, including agendas, logistics and minutes, with follow-through on actions.
  • Support onboarding and induction activities for new leaders.
  • Maintain confidentiality while providing trusted administrative support and clear communication.
  • Partner with other PAs and admins to ensure smooth operations and shared coverage.
  • Identify opportunities to improve coordination and processes for better outcomes.

As a Personal Assistant supportinga number ofour Senior Leadership team, you will help keepabusy and fast paced portfoliosrunning smoothly, enabling our leaders to focus on delivering exceptional outcomes for our people and customers.

You will join a collaborative team of Personal Assistants who work together to keep things moving behind the scenes. Based at our Auckland City office, you will build strong relationships across the portfolio and playan important rolein creating the clarity, coordination and connection that help our teams thrive.

About the role

  • Manage complex calendars, inboxes, travelarrangementsand expenses, ensuring leaders are organised, prepared and able to focus on strategic priorities
  • Coordinate meetings and events, including agendas,logisticsand minutes, ensuring actions are captured and followed through
  • Support onboarding and induction activities, helping new leaders settle in quickly and build strong connections
  • Maintain confidentiality while providing trusted administrative support and clear communication across the portfolio
  • Partner closely with other Personal Assistants, Executive Assistantsand administration colleagues, providing backup support and contributing to a collaborative team culture
  • Identifyopportunities to improve coordination,processesand ways of working that create better outcomes for leaders and teams.

Whatyou'llbring

  • Proven experience as a Personal Assistant, ideally supporting multiple senior leaders within a complex, fast paced environment
  • Excellent communication and interpersonal skills, with the ability to quickly build trusted relationships
  • Strongproficiencyacross Microsoft Office applications, including Outlook, Word,Exceland PowerPoint
  • The ability to manage competing priorities whileremainingcalm,organisedand adaptable
  • High attention to detail, producingaccurate, well-presented documentation
  • A growth mindset with curiosity and confidence toleverageemerging technologies, AI tools, and new systems to improve productivity, insight, and the overall effectiveness of the PA function
  • A proactive approach,with the confidence toanticipateneeds and take initiative.
