Te Taumata is seeking an exceptional Executive Assistant to support our Acting GM and Senior Leadership Team, building and strengthening systems, rhythms and continuity for the incoming GM to hit the ground running.

Day to day, you will keep the GM focused on priority mahi, manage confidential information with discretion, and organise people and queries with a light touch, while showing empathy and respect within a kaupapa Māori context. This is a permanent, full-time role based in Rotorua.

Qualifications

  • Experience supporting senior leaders in a similar role.
  • Confident and calm under pressure with sound judgement.
  • Discretion with confidential and sensitive information.
  • Systems mindset; ability to build and refine processes.
  • Comfort working in a kaupapa Māori organisation.
  • Full, clean driver’s license.

Responsibilities

  • Support the Acting GM and SLT with day-to-day tasks and coordination.
  • Maintain governance administration in collaboration with Board Secretary.
  • Build and maintain organisational rhythms and continuity for the incoming GM.
  • Protect leadership time and manage stakeholder queries with a light touch.
  • Organise people and work with discretion and empathy within a kaupapa Māori context.

We are looking for an exceptional Executive Assistant. Someone steady, confident and exceptionally organised, who enjoys being orgnaised, building & strengthening systems, and making their mark on an organisation through its next phase of development.

Te Taumata is a leadership organisation established by and for Ngāti Whakaue, working across education, te reo Māori, housing development and social wellbeing.

Guided by a dedicated team of Poumahi, we embody and uphold the values of manaakitanga, whanaungatanga, kaitiakitanga, pono me te tika, and mana motuhake in all that we do.

Today, our work reaches hundreds of whānau, rangatahi, tamariki and kōhungahunga through high quality, whānau centred programmes and services.

The role

We are currently recruiting a new General Manager, which is exactly why this role matters. You will support our Acting GM now, and help to build the systems, rhythms and continuity that will allow the incoming GM to step in and get straight to work.

Holding the fort through this transition, and making the handover seamless, is the most important thing you will do in your first year. It takes someone with the confidence to steady things while a lot is moving.

Day to day, your job is to keep the GM and Senior Leadership Team focused on the mahi that matters, taking care of what sits behind the scenes with precision, discretion and genuine care.

Organisation is your superpower. You organise the people around you quietly and with a light touch, field the queries that come at the GM, protect their time for the things only they can do, and have the strength and the empathy to push back when something belongs on someone else's desk.

You will work closely with our contracted Board Secretary on governance administration, providing the in-house coordination and day to day continuity that keeps Board processes running smoothly between meetings.

What you will bring
  • Solid experience supporting senior leaders in a similar role, so you already know what is needed and how to anticipate it.
  • Confidence and calm under pressure, and sound judgement about what the GM needs to see, what you can handle yourself and what you can push back on.
  • Discretion with confidential and sensitive information, every time.
  • A systems mindset, you improve the way things are done, building the plane while you are in the air.
  • Comfort and respect working within a kaupapa Māori organisation
  • A full, clean driver's licence
