Job summary

Deloitte New Zealand in Auckland is seeking a Personal Assistant to support Partners and the wider Technology and Transformation team. You will manage diaries, coordinate travel and events, handle expenses and invoicing, and maintain essential business systems.

The role emphasizes professional communication, proactive planning, and collaboration across the firm. Strong organisational skills, attention to detail, and a proactive approach are essential.

Responsibilities

  • Diary Management: Proactively manage schedules and meetings for Partners; resolve conflicts
  • Travel and Event Coordination: Arrange travel, accommodations and event logistics
  • Financial Administration: Handle expenses, invoicing for Partners, and support budgeting processes
  • Systems Management: Maintain CRM, time management, and billing systems
  • Culture Leader: Contribute to office culture and drive initiatives
  • Efficiency Enhancement: Streamline office processes for productivity
  • Communication Liaison: Manage correspondence and inquiries professionally
  • Collaborative Integration: Work with the wider support team across the organisation
  • Support Partners for events/meetings including materials and logistics

About this team:

Our Technology and Transformation (T&T) team is looking for a Personal Assistant to join us in Auckland.

Reporting to our Partners, this role will see you play a key role in providing comprehensive support to them & to the wider team, to assist with driving and implementing initiatives, as well as diary management and general administration support.

Job Description
Your typical week will include:
  • Diary Management: Proactively managing schedules, ensuring efficient meeting arrangements, and swiftly resolving any potential conflicts.
  • Travel and Event Coordination: Anticipating and coordinating travel logistics, accommodations, and meeting arrangements, with added support for internal and external events.
  • Financial Administration: Handling expenses,processing of invoicing for Partners, and supporting the wider Consulting team with financial processes.
  • Systems Management: Updating and maintaining vital business applications such as CRM, time management, and billing systems.
  • Culture Leader: Actively contributing to office culture development, driving initiatives, and assisting in effective communication management.
  • Efficiency Enhancement: Developing and maintaining streamlined office systems to optimize productivity.
  • Communication Liaison: Proactively managing correspondence and inquiries with professionalism and accuracy, ensuring prompt responses.
  • Collaborative Integration: Collaborating seamlessly with fellow support team members across the organization.
  • Supporting the Partners in relation to events/meetings; this may include logistics, preparing material and content and ensuring the event/meeting is a success
Qualifications

  • Previous experience in a similar role, with a professional yet personable character.
  • Strong organisational skills, seasoned at multitasking, prioritisation and juggling competing priorities
  • Strong client focus with the ability to communicate at all levels.
  • The ability to build a network of strong working relationships both internally and externally
  • Proficient in Microsoft Office
  • The desire to continually learn and be challenged is important in this role as is exceptional attention to detail and the creative use of initiative in forward planning.
