Job summary

ARCO Group Limited in Whangarei seeks an highly organised Executive Assistant to the Managing Director. This role goes beyond administration, acting as a trusted partner to manage priorities, coordinate initiatives and ensure the MD's day-to-day operations run smoothly.

Responsibilities include diary management, travel coordination, reports and presentations, minutes, stakeholder liaison, and supporting the wider leadership team.

Qualifications

  • Previous experience as an Executive Assistant, Personal Assistant or Senior Administrator
  • Exceptional organisational and time management skills
  • Outstanding written and verbal communication
  • High attention to detail
  • Strong Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint
  • Confidence learning new business systems and technology
  • Ability to work independently while using initiative
  • Professional, positive and solutions-focused attitude
  • Absolute integrity and confidentiality

Executive Assistant to the Managing Director

ARCO Group is one of Northland's leading commercial construction and property businesses, delivering projects across commercial, industrial, healthcare, education and property development sectors.

We are looking for a highly organised, proactive and professional Executive Assistant to work directly alongside our Managing Director. This is far more than a traditional administration role. You will become a trusted partner, helping manage priorities, coordinate key business initiatives and ensure the day-to-day operation of the Managing Director's office runs seamlessly.

This role suits someone who thrives in a fast-paced environment, enjoys solving problems, thinks ahead and takes ownership.

About the Role

Reporting directly to the Managing Director, you will be responsible for providing high-level executive support across multiple businesses within the ARCO Group.

Your responsibilities will include:

  • Managing an extremely busy diary and coordinating meetings across multiple businesses
  • Email and correspondence management
  • Preparing reports, presentations and board papers
  • Coordinating travel, accommodation and itineraries

  • Managing confidential information with absolute discretion

About You

You are organised, calm under pressure and able to juggle multiple priorities without dropping the ball. You enjoy working in a dynamic environment where no two days are the same.

You'll also have:
