Uruuruwhenua Health Inc – Alexandra, South Island

We are seeking an experienced, highly organised, and proactive Executive Assistant to provide high-level support to our Chief Executive Officer (CEO). This is a pivotal role within our kaupapa Māori organisation, ensuring the CEO is well supported to lead strategic initiatives, maintain strong stakeholder relationships, and deliver high-quality services to our whānau and communities.

Key responsibilities

Provide high-level executive and administrative support to the CEO.

Coordinate meetings, including preparing agendas, papers, taking minutes, and following up on action items.

Support the CEO with human resource administration, including recruitment, onboarding, induction, employment documentation, staff records, and coordinating performance review processes.

Assist with the implementation and maintenance of policies, procedures, and compliance requirements.

Act as a key point of contact for internal and external stakeholders, responding to enquiries professionally and maintaining positive relationships.

Maintain accurate and confidential organisational and personnel records in accordance with legislative and privacy requirements.

Support organisational quality improvement activities, accreditation, and compliance requirements.

Assist with project coordination and ensure organisational priorities and key actions are progressed.

Liaise with funders, government agencies, community organisations, and other stakeholders on behalf of the CEO.

Provide administrative support across the organisation as required and contribute to the effective day-to-day operations of the service.

About you

Has previous experience as an Executive Assistant, HR Administrator, Office Manager, or in a senior administrative role, preferably in a non-profit organisation.

Has experience in human resource administration and understands New Zealand employment processes and legislation.

Demonstrates exceptional organisational and time management skills with the ability to manage competing priorities.

Has excellent written and verbal communication skills with a high level of attention to detail.

Exercises professionalism, sound judgement, and maintains strict confidentiality.

Is highly proficient in Microsoft 365 and confident using a range of digital systems, with the ability to train and support others in their use.

Has experience preparing documentation and recording accurate meeting minutes.

Holds a current full New Zealand Driver Licence.

Understands, or is committed to learning, Te Tiriti o Waitangi, tikanga Māori, and kaupapa Māori approaches to hauora.
