Job summary

Kordia in Auckland, NZ is seeking an experienced Executive Assistant to provide senior-level support to three leaders across the business. You will manage complex diaries, coordinate travel, prepare materials, and help keep priorities organized.

The role requires discretion, superb written and verbal communication, and the ability to build strong relationships with internal teams, customers and suppliers. A proactive mindset and solid Microsoft Office skills are essential.

Responsibilities

  • Own complex diary management, inbox coordination, travel and accommodation arrangements.
  • Coordinate executive and management meetings including agendas, minutes and follow-up.
  • Prepare reports, presentations and communications for leadership meetings.
  • Plan and deliver management days, offsites and events with venues, catering and speakers.
  • Manage expenses and purchase orders with accurate processing.
  • Build relationships across senior leadership, internal teams, customers and suppliers.
  • Handle commercially sensitive information with sound judgement and discretion.

We’re looking for an experienced Executive Assistant who knows what great executive support looks like! You’ll provide senior-level support to three leaders across our business, helping them stay focused on the priorities that matter.

You’ll manage complex diaries and competing priorities, keep executive and management meetings running effectively, coordinate communications and events, and provide practical support to the wider teams. You’ll be trusted with sensitive information and expected to anticipate what’s needed, bring structure to busy schedules, and keep things moving.

Working closely with senior leaders and their teams, you’ll play an important role in creating the coordination and clarity they need to operate effectively.

Ko tō mahi – What you will do

Supporting the EGMs of Cyber, Cloud & Connectivity and Finance & Corporate Services, along with the General Manager of Digital & Technology, you’ll provide proactive executive and business support that enables these leaders and their teams to operate effectively.

What you’ll be responsible for

  • Own complex diary management, inbox coordination, travel and accommodation, anticipating priorities and resolving clashes before they become issues
  • Coordinate executive and management meetings, including agendas, documentation, minutes, actions and follow-up
  • Prepare reports, presentations and communications, including material for quarterly all-staff meetings
  • Plan and deliver management days, team offsites, meetings and events, coordinating venues, catering, speakers and equipment
  • Manage expenses and purchase orders, ensuring accurate and timely processing
  • Build effective relationships across senior leadership, internal teams, customers and suppliers
  • Handle commercially sensitive and confidential information with sound judgement and discretion
Ná tōu rourou - What you will bring

You’ll be an experienced EA who can operate confidently with senior leaders, exercise sound judgement and stay composed when priorities shift. You’ll demonstrate:

  • Strong organisational skills with the ability to prioritise multiple competing demands
  • Excellent written and verbal communication skills
  • High levels of discretion and a strong understanding of confidentiality
  • Proven experience working with senior management teams and key stakeholders
  • Excellent attention to detail and advanced Microsoft Office capability
  • A proactive mindset, and be thinking ‘one step ahead’
  • A clean, full New Zealand driver licence
  • SAP experience would be an advantage
