Job summary

Southern Cross Hospital in Auckland is seeking an exceptional Executive Assistant who supports the CFO and Chief Nursing and Quality Officer. You will manage complex diaries, coordinate meetings, travel and events, and prepare high-quality presentations, reports and Board papers.

This role is hands-on, fast-paced and requires proactive, autonomous work, building relationships with ELT members, hospital teams and external stakeholders.

Southern Cross Hospital – Auckland, North Island

We’re looking for an exceptional Executive Assistant who thrives in a fast-paced, high-performing environment and enjoys being at the centre of the action. This role will support our Chief Financial Officer and Chief Nursing and Quality Officer.

This is much more than a traditional EA role. You’ll become a trusted partner to your executives – someone who understands their priorities, anticipates what’s coming next and creates the structure and momentum that allows them to perform at their best. You’ll manage complex diaries and executive workflows, coordinate meetings, travel and events, prepare high-quality presentations, reports and Board papers, and help ensure key governance activities and organisational priorities stay on track. You’ll also be a key connector across the organisation, building strong relationships with ELT members, senior leaders, hospital teams, Board members and external stakeholders. With visibility across a wide range of strategic initiatives, you’ll help coordinate projects, follow up on actions and keep important deliverables moving forward.

We’re looking for someone who is naturally proactive, exceptionally organised and confident operating with autonomy. You’ll know when to take the lead, when to challenge or ask questions, and how to navigate changing priorities while remaining calm and solutions focused. Most importantly, you’ll enjoy being the person who makes things happen behind the scenes and takes real pride in enabling others to succeed. You’ll be an accomplished Executive Assistant who brings confidence, positive energy and sound judgement to everything you do. This role is a full-time permanent position based in our National Support Office in the Auckland CBD.

  • Significant experience supporting senior executives, Executive Leadership Team members or Board-level leaders within a complex and fast-paced organisation.
  • A strong understanding of executive and governance processes, including coordinating Board and committee meetings, preparing papers, managing actions and producing high-quality minutes.
  • Exceptional organisation and prioritisation skills, with the ability to confidently juggle competing priorities, changing deadlines and complex schedules.
  • A proactive mindset – you anticipate what’s needed, identify potential issues early and take ownership of finding solutions.
  • Excellent written and verbal communication skills, with the ability to prepare polished executive correspondence, presentations, reports and other senior-level documentation.
  • Confidence building trusted relationships with executives, senior leaders, Board members, external partners and stakeholders at all levels.
  • Advanced Microsoft 365 capability across Outlook, Word, PowerPoint, Excel, Teams and SharePoint, with the confidence to quickly learn new technology and systems.
  • Strong financial administration skills, including managing invoices, expenses, reconciliations and budget tracking.
  • Exceptional discretion, judgement and integrity, with the ability to handle sensitive and confidential information appropriately.
  • Outstanding attention to detail and follow-through – you take ownership, close the loop and make sure commitments don’t fall through the cracks.
  • A collaborative and adaptable approach, combined with the confidence to work independently and make decisions when required.
  • Experience within healthcare, professional services or another large, complex organisation would be an advantage.
