Job summary

Oranga Tamariki—Ministry for Children invites applications for an experienced Executive Assistant to provide proactive, high-quality support to several General Managers within the System Leadership Group at our Wellington office.

You will manage complex diaries, travel, financial processes, procurement activities, communications, onboarding and team administration to ensure the leadership team operates smoothly.

Qualifications

  • Proven experience providing executive and administrative support to senior leaders.
  • Ability to build trusted and effective working relationships with a range of stakeholders.
  • Strong self-management skills and the confidence to work autonomously.
  • A flexible and adaptable approach, with the ability to navigate ambiguity and changing priorities.
  • Excellent organisational and coordination skills, with strong attention to detail.
  • High levels of integrity, professionalism, confidentiality and discretion.
  • Experience supporting budgeting, forecasting, financial monitoring and reporting activities.
  • Experience working with procurement and contract administration processes.
  • Understanding and appreciation of cross-cultural practices, particularly tikanga Māori and Pacific peoples' cultures.

Responsibilities

  • Provide proactive, high-quality executive support to several General Managers within the System Leadership Group.
  • Coordinate complex diaries and travel arrangements, and support financial processes and procurement activities.
  • Contribute to onboarding, team administration and overall smooth operation of the leadership team.
  • Build trusted relationships with senior leaders and anticipate needs to provide tailored support.
  • Support the wider System Leadership team with general and project-based tasks as required.

This is an exciting opportunity to provide proactive, high-quality executive support to several General Managers within the System Leadership Group, enabling them to lead effectively and deliver on key organisational priorities.

No two days will be the same. We are looking for a dynamic and adaptable Executive Assistant who can confidently manage a broad range of responsibilities in a fast-paced environment. From coordinating complex diaries and travel arrangements to supporting financial processes, procurement activities, communications, onboarding and team administration, you will play a critical role in ensuring the smooth operation of the leadership team.

This role is an opportunity to develop strong, trusted working relationships with the General Managers you support. Your ability to build genuine connections, anticipate needs, and provide tailored support will make you an invaluable partner to leaders.

This role also contributes to the wider System Leadership team, providing both general and project-based support as required. If you're looking to broaden your experience while working alongside senior leaders, this could be the perfect next step in your career.

You will be a highly organised professional who thrives in a busy environment and takes pride in delivering exceptional support. A proactive self-starter, you'll be comfortable working independently, exercising sound judgement, and managing competing priorities with confidence.

  • Strong financial administrative skills, including experience supporting budgeting, forecasting, financial monitoring and reporting activities.
  • Experience working with procurement and contract administration processes.
  • Advanced skills across Microsoft Office applications, including Outlook, Word, Excel and PowerPoint.
  • Understanding and appreciation of cross-cultural practices, particularly knowledge of tikanga Māori and Pacific peoples' cultures.
