Job summary

Canon Business Services in Auckland CBD is seeking an experienced Events Administrator to join on site and support planning, coordination and delivery of corporate events, leadership meetings, and engagement activities. You will manage bookings, registrations, venues, catering, AV, and liaise with internal stakeholders and suppliers.

You’ll lead a small onsite team, oversee event logistics, track budgets, and contribute to continuous improvement of workplace experiences.

Qualifications

  • Minimum 2 years' experience in events administration, hospitality, workplace services, customer service or administration.
  • Experience coordinating multiple events, bookings and logistical requirements simultaneously.
  • Strong stakeholder management skills with the ability to build relationships at all levels.

Responsibilities

  • Coordinate event bookings, schedules and calendars across multiple locations.
  • Support the planning and delivery of corporate events, meetings, training sessions and engagement activities.
  • Lead and support the Events Coordinator, Auckland Concierge and Barista team.
  • Manage attendee registrations, invitations and event communications.
  • Coordinate venue setups, catering, AV requirements and event logistics.
  • Build strong relationships with internal stakeholders, suppliers and service providers.
  • Process purchase orders, invoices and event-related financial administration.
  • Prepare reports, track event performance and support continuous improvement initiatives.
  • Ensure event activities meet health, safety and compliance requirements.

About the Role | Mō te Tūranga

Join Canon Business Services and play a key role in creating exceptional workplace and event experience. Based on site at one of our customers in Auckland CBD, this role reports to the Service Delivery Manager and supports the planning, coordination and delivery of a wide range of corporate events, leadership meetings, employee engagement activities and customer functions.
No two days are the same. From managing event logistics and stakeholder relationships to overseeing event administration, financial processes and concierge operations, you’ll help ensure every event runs smoothly while delivering a positive experience for employees, customers and visitors. You’ll also lead a small onsite team and contribute to continuous improvement initiatives that enhance workplace experiences across the business.
Scope of the role includes:

  • Coordinate event bookings, schedules and calendars across multiple locations
  • Support the planning and delivery of corporate events, meetings, training sessions and engagement activities
  • Lead and support the Events Coordinator, Auckland Concierge and Barista team
  • Manage attendee registrations, invitations and event communications
  • Coordinate venue setups, catering, AV requirements and event logistics
  • Build strong relationships with internal stakeholders, suppliers and service providers
  • Process purchase orders, invoices and event-related financial administration
  • Prepare reports, track event performance and support continuous improvement initiatives
  • Ensure event activities meet health, safety and compliance requirements
  • Provide operational support and backup coverage for the Operations Manager when required

Key skills and experience include:
  • Minimum 2 years' experience in events administration, hospitality, workplace services, customer service or administration
  • Experience coordinating multiple events, bookings and logistical requirements simultaneously
  • Strong stakeholder management skills with the ability to build relationships at all levels
  • Excellent organisational skills with strong attention to detail and accuracy
  • Experience working with suppliers, contractors and service providers
  • Intermediate to advanced Microsoft Office skills, including Outlook, Word, Excel, PowerPoint and Teams
  • Experience processing purchase orders, invoices and managing administrative processes
  • Ability to work independently, solve problems and remain calm under pressure
  • Understanding of workplace health and safety requirements within an events environment
