Job summary

Queenstown Lakes District Council – Queenstown, South Island, is seeking a proactive administrator for a one-year fixed-term parental leave cover. You will support the Facilities & Fleet team, handling financial admin, purchase orders, invoices, budgeting, and helpdesk tasks to keep operations running smoothly.

You will coordinate maintenance, liaise with staff and contractors, monitor supplier performance, and assist the Facilities & Fleet Manager with reporting and meetings.

Qualifications

  • At least 2 years' experience in an administration role; exposure to financial processes such as purchase orders, invoices, and budgeting.
  • Strong organisational and multitasking skills to manage competing priorities and high volumes of requests.
  • Excellent written and verbal communication skills; professional and confident customer service.
  • Experience working with suppliers, contractors, service agreements, and performance monitoring, ideally in facilities management.
  • Proficiency with Word and Excel.

Responsibilities

  • Manage financial administration, including purchase orders, invoice reconciliation, budget monitoring, and reporting.
  • Coordinate facilities and fleet support services, ensuring maintenance schedules and operational activities are effectively managed.
  • Act as the primary contact for facilities helpdesk requests, liaising with staff, contractors, and service providers to resolve issues efficiently.
  • Support supplier and contractor management, including monitoring performance against KPIs and service agreements.
  • Provide administrative and coordination support to the Facilities & Fleet Manager, including reporting, meeting administration, and tracking actions.

What you’ll be doing / He aha te mahi

This role provides essential administrative support to the Facilities & Fleet team, helping to ensure smooth and efficient operations across the organisation. You will be working closely with internal teams, contractors, and suppliers, while coordinating key processes, managing purchase orders and helpdesk requests. The role plays a vital part in keeping systems up to date, monitoring performance, and ensuring day-to-day operations run effectively.

You’ll bring a strong attention to detail, excellent communication skills, and a proactive, organised approach to support operations while building positive relationships.

To best succeed in this role, you’ll have:
