Job summary

Queenstown Lakes District Council in Queenstown is seeking a proactive Business Support Officer to deliver high-quality administrative and coordination support across the Property & Infrastructure Directorate. You will manage end-to-end procurement and purchasing activities, assist contract managers, coordinate enquiries, and support governance with minutes and reporting.

Qualifications

  • Requires relevant tertiary qualification or equivalent applied knowledge in business support.
  • At least five years’ experience providing high-quality administrative or business support in a complex environment.
  • Proven ability to manage multiple priorities with accuracy in a fast-paced setting.

Responsibilities

  • Provide end-to-end support across procurement and purchasing activities with accurate documentation and supplier communication.
  • Assist contract managers by preparing correspondence, processing claims, facilitating audits, and maintaining contract files.
  • Coordinate responses to public, media, and elected member enquiries and monitor service requests for timely outcomes.
  • Compile high-quality reports, align inputs across projects, and maintain oversight of routine and ad hoc reporting.
  • Organise meetings, prepare materials, take minutes, and track actions to support governance processes.
  • Maintain centralised registers, frameworks, and toolkits, ensuring currency and accessibility.
  • Support business improvement initiatives by refining processes and embedding consistent ways of working.

We’re looking for a proactive and detail-driven Business Support Officer to deliver high-quality, consistent business support across our Property & Infrastructure Directorate.

What you’ll be doing / He aha te mahi

You’ll play a central role in supporting the smooth and effective operation of the Property & Infrastructure Directorate through high-quality business, administrative, and coordination support.

The role will involve:

  • Providing end-to-end support across procurement and purchasing activities, ensuring documentation, supplier communication, GETS interactions, and financial processes are completed accurately and consistently.
  • Assisting contract managers by preparing correspondence, processing claims, facilitating audits, and maintaining complete and compliant contract files.
  • Coordinating responses to public, media, and elected member enquiries and monitoring requests for service to ensure timely, appropriate, and well-managed outcomes.
  • Compiling high-quality team and directorate reports, aligning inputs across projects and programmes, and maintaining oversight of routine and ad hoc reporting requirements.
  • Organising meetings, preparing materials, taking comprehensive minutes, and tracking progress against agreed actions to support effective governance processes.
  • Maintaining centralised registers, frameworks, and toolkits, ensuring they remain current, accessible, and aligned with organisational requirements and best practice.
  • Supporting business improvement initiatives by refining processes, embedding consistent ways of working, and enabling change across the directorate.
What you’ll bring to the role / Ko wai to Pukeka

You’ll bring strong organisational capability, excellent communication skills, proven administrative experience, and confidence working across systems and processes to support the directorate effectively. You will be proactive, detail-focused, and able to manage multiple priorities while providing exceptional support to others.

To best succeed in this role, you’ll have:

  • A relevant tertiary qualification or equivalent applied knowledge suited to business support work.
  • At least five years’ experience providing high-quality administrative or business support in a complex environment.
  • Strong organisational and time management capability, with the ability to prioritise effectively and maintain accuracy in a fast-paced environment.
  • Excellent communication skills and the ability to build strong, positive working relationships with a wide range of stakeholders.
  • Confidence using a range of software applications, with TechnologyOne experience highly desirable.
  • A collaborative working style that contributes positively to a joined-up, supportive team environment.
  • A commitment to continuous improvement, including supporting change and helping embed consistent, best-practice processes.
