Job summary

Seed and Grain New Zealand (SGNZ) is seeking an experienced Administration Support Coordinator to become the organisational backbone of our not-for-profit. You’ll provide governance administration, executive support and membership services, while maintaining CRM systems and documentation.

Working closely with the Chief Executive, you’ll ensure efficient operations, accurate records and sustainable processes for SGNZ and associated bodies, across a collaborative, small team environment.

Are you an exceptionally organised administrator who enjoys creating structure, supporting governance processes and keeping systems running smoothly?

Seed and Grain New Zealand (SGNZ) is seeking an experienced and professional Administration Support Coordinatorto become the organisational backbone of our business.

This is one of two newly created roles. This role provides administration services across SGNZ and other associated not-for-profit organisations to support their governance, membership, executive functions and systems. Working closely with the Chief Executive, you'll play a key role in ensuring our operations remain efficient, well documented and sustainable into the future.

About Us

SGNZ is a not-for-profit organisation representing New Zealand's seed and grain industry. We work closely with members, researchers, breeders, growers and industry partners to support the development and success of New Zealand's seed and grain industry.

This role provides support across:

  • Seed and Grain New Zealand Incorporated
  • New Zealand Plant Breeders & Research Association (NZPBRA)
  • Arable Food Industry Council (AFIC)
  • New Zealand Seeds Authority(NZSA)
The Opportunity

This is a varied and rewarding role that combines:

You'll be trusted to take ownership of key organisational processes and become the central point of coordination that keeps everything running smoothly.

Key Responsibilities
Governance & Executive Support
  • Coordinate Executive Council meetings
  • Prepare agendas and meeting papers
  • Take and distribute minutes
  • Track actions and follow up outstanding items
  • Provide executive support to the Chief Executive
  • Coordinate travel and meeting arrangements
Membership Administration
  • Manage accurate membership records and databases
  • Coordinate renewals and subscriptions
  • Respond to member enquiries
  • Provide membership information to support invoicing processes
Systems & Process Management
  • Maintain SharePoint and CRM systems
  • Document and improve organisational processes
  • Manage document control and records
  • Support CRM implementation and optimisation
  • Identify opportunities for efficiency improvements
Risk, Compliance & Business Continuity
  • Maintain business continuity documentation
  • Administer policies and procedures
  • Maintain onboarding and offboarding records
  • Support information governance and access controls
About You

You'll be someone who thrives on creating order and enjoys being the person others rely on to keep things organised and on track.

Ideally you'll bring:

  • Previous senior administration, executive support or governance experience
  • Strong organisational and time management skills
  • Confidence working with databases and business systems
  • Strong Microsoft 365 capabilityHigh levels of accuracy and attention to detail
  • A collaborative and positive approach
  • The ability to work independently and manage competing priorities
  • Experience supporting boards, committees or membership organisations would be highly regarded.
