Job summary

P & P Associates Limited is a growing accounting firm in Auckland seeking a reliable Bookkeeper to maintain accurate client records and support accountants with day-to-day tasks.

You will handle bookkeeping, coding, invoicing, reconciliations and payroll processing, ensuring confidentiality and compliance with relevant acts and policies. A NZQF Level 4+ in accounting or 2+ years' experience is preferred.

Qualifications

  • NZQF Level 4 or higher qualification in accounting/bookkeeping or 2+ years' bookkeeping experience.
  • Practical knowledge of bookkeeping including ledgers, AR/AP, bank reconciliations.
  • Experience with Xero, QuickBooks or MYOB and Excel proficiency.

Responsibilities

  • Maintain accurate day-to-day bookkeeping records for clients and practice.
  • Record and code transactions: sales, purchases, receipts, payments, expenses.
  • Prepare invoices, statements, supplier bills and payment schedules.
  • Reconcile bank accounts, cards and payment platforms; investigate discrepancies.
  • Prepare GST returns and routine statutory filings with supporting docs.
  • Assist with payroll processing and payroll records as needed.

P &P Associates Limited is a professional and growing accounting firm committed to providing high-quality accounting, bookkeeping, taxation, and business advisory services to a diverse range of clients.

We are seeking a reliable and detail-focused Bookkeeper to maintain accurate day-to-day financial records for the accounting practice and its assigned clients. The successful applicant will work with accountants and client contacts to ensure bookkeeping records are complete, current and ready for review.

Key responsibilities

  • Maintain complete, accurate and up-to-date bookkeeping records for assigned clients and the practice, including general ledgers, journals, subsidiary ledgers and supporting documentation, using Xero and other approved accounting systems.
  • Accurately record and code day-to-day financial transactions, including sales, purchases, receipts, payments, expenses, transfers and journals, ensuring transactions are posted to the appropriate accounts and accounting periods.
  • Maintain and reconcile accounts receivable and accounts payable ledgers; prepare customer invoices and statements; process supplier bills; schedule authorised payments; and follow up routine outstanding balances and items.
  • Perform regular reconciliations of bank accounts, credit cards, payment platforms, clearing accounts and relevant control accounts against supporting statements, investigating and resolving unreconciled, unusual or unexplained items.
  • Prepare purchase orders, payment schedules, remittance advices and bank deposit records, ensuring all transactions are appropriately supported, documented and authorised.
  • Monitor cash receipts, payments, cash‑flow positions and available lines of credit for assigned entities, and promptly escalates anticipated cash‑flow constraints, upcoming commitments, overdue balances or other matters to the supervising accountant or relevant client contact.
  • Review and verify transactions against invoices, receipts, contracts, bank records and other supporting documentation; identify duplicate, incomplete or inconsistent entries; correct authorised errors; and promptly escalates irregularities or discrepancies.
  • Prepare reconciled bookkeeping records and supporting working papers for GST returns and other routine statutory filings, ensuring all submissions and lodgements are completed only where authorised and in accordance with the practice's review and approval procedures.
  • Prepare routine bookkeeping and management reports, including trial balances, aged receivables and payables, cash‑flow summaries, expenditure reports and draft financial information, for review by the supervising accountant.
  • Assist with month‑end and year‑end processes by completing ledger reconciliations, reconciling balance‑sheet accounts, identifying outstanding or missing information, and preparing supporting schedules and working papers.
  • Assist with payroll processing and the maintenance of payroll records where assigned, in accordance with client instructions, applicable legislation and established practice procedures.
  • Establish and maintain client files, charts of accounts, bank feeds and bookkeeping workflows, ensuring electronic records are accurate, secure, appropriately organised and readily retrievable.
  • Communicate professionally and effectively with clients, suppliers, financial institutions and internal staff to obtain outstanding information, clarify transactions and resolve routine bookkeeping queries within the scope of the role.
  • Maintain strict client confidentiality and comply with the Privacy Act 2020, information‑security requirements, document‑retention policies and all other applicable legislative and professional requirements.
  • Identify and support opportunities to improve bookkeeping systems, processes and workflows, and undertake other bookkeeping duties and responsibilities reasonably required by the employer that are consistent with the position.
  • A relevant NZQF Level 4 or higher qualification in accounting, bookkeeping or a closely related field or at least 2 years of relevant bookkeeping or accounting‑support work experience.
  • Practical knowledge of bookkeeping, including transaction coding, accounts payable, accounts receivable and bank reconciliations.
  • Experience with accounting software such as Xero, QuickBooks or MYOB, and good working knowledge of Microsoft Excel.
  • Ability to prepare accurate bookkeeping reports and understand basic financial statements.
  • Strong attention to detail, good organisational skills and the ability to meet deadlines while handling confidential information.
  • Good written and verbal communication skills, with the ability to work professionally with clients and colleagues.
