Job summary

Morrison Express is seeking an Operations Coordinator to support import and export flows, ensuring accurate bookings, clearance, and billing. You will liaise with customers, carriers, and overseas stations to maintain timely and compliant shipments.

Responsibilities

• Follow up on import flow and confirm bookings with customers.
• Prepare customs clearance and trucking orders accurately and timely.
• Update milestones and vendor payments in the system; create invoices.
• Process export requests and coordinate with overseas stations as needed.
• Report exceptions to customers and internal teams.
• Ensure complete and well-documented files for monthly closing.

Role and Responsibilities:

• Follow-up on operational import flow (Primary Job Function):
• Check and confirm bookings with customers (if needed).
• Provide airline booking instructions (if needed).
• Check pre-alerts for complete information and inform customers.
• Check flight arrival status and inform arrival notices to customers.
• Check the HAWB/MAWB status to ensure proper release of shipments.
• Prepare customs clearance in a timely and accurate manner.
• Prepare trucking orders in a timely and accurate manner.
• Collect POD’s after delivery is completed.
• Report all kind of exceptions to customers or counter offices.
• Update milestones timely in the system.
• Update all PO’s for vendor payments timely in the system.
• Create and send invoices for timely and accurate billing as per company standard.
• Follow-up on operational export flow (Back-up task only):
• Process supplier bookings and inform overseas stations when applicable.
• Process airline bookings based on requested flight schedule and rate agreements.
• Process export customs clearance with suppliers and customs broker.
• Process pre-carriage with selected trucking vendors.
• Process security screening (Dangerous Goods when applicable and certified).
• Process HAWB/MAWB.
• Process CMA/VBA/ECS/Cargonaut documentation and procedures.
• Process AP/AR billing to complete the files.
• Create complete pre-alerts to overseas stations and customers.
• Report all kind of exceptions to customers or counter offices.
• Update milestones timely in the system.
• Other Important tasks in the job scope:
• Ensure completeness of files (digital and hardcopies).
• Ensure clear SOP’s and documentation together with the sales team for excellent customer implementation.
• At all times communicate with customers, vendors and Morrison staff in a proactive and professional manner.
• Support (inside) sales with obtaining or quoting rates when requested.
• Prepare or verify reports after request from management.
• Conduct a proper file-check to ensure timely and accurate figures in the monthly closing.
