The Work Permit Administrator is responsible for managing and coordinating work permit and immigration-related matters for expatriate. The role involves preparing and submitting documentation, monitoring permit and visa validity, coordinating with government authorities and service providers, and maintaining accurate employee records. The position also provides general HR and administrative support to ensure smooth and timely processing of expatriate-related matters.
Key responsibilities
Manage and coordinate work permit, visa, and immigration applications and renewals for expatriate
Prepare, check, and submit required documents to relevant government authorities and agencies
Coordinate FOMEMA medical examinations, work permit renewals, and related processes
Monitor the expiry dates of work permits, passports, visas, insurance, medical examinations, and other relevant documents
Collect and verify employees' documents, such as passports, educational certificates, employment contracts, and supporting documents
Ensure all renewals and submissions are completed accurately and within the required timelines
Liaise with Immigration Department, FOMEMA, government agencies, agents, and service providers regarding expatriate matters
Follow up on applications, approvals, renewals, and outstanding documentation
Maintain accurate and up-to-date electronic and physical filing systems for expatriate records
Prepare reports, trackers, and status updates on work permits and immigration matters
About you
Possess at least SPM, Diploma, Degree or Professional Certificate or equivalent
Experience in work pass administration, immigration, or HR operations is advantageous
Good knowledge of Employment Pass/Work permit requirements and immigration procedures
Strong attention to detail and document-management skills
Good communication and coordination skills
Ability to handle confidential employee information
Good organisational and time-management skills
Proficiency in Microsoft Office, particularly Excel and Word
Ability to manage multiple applications and deadlines simultaneously
