Job summary

Zuellig Pharma Malaysia seeks a warehouse operations specialist to assist leaders in daily tasks, ensuring smooth return processes and compliance with quality policies and regulatory requirements.

Responsibilities include stock checks, discrepancy handling, SAP updates, and collaboration with clients. The role emphasizes 5S, timely reporting, and cross-functional teamwork within a regulated healthcare environment.

Qualifications

• 1-3 years of warehousing experience preferred.
• Ability to follow SOPs and instructions precisely.

Responsibilities

• Follow SOPs and carry out tasks as instructed by superiors.
• Check Return stock, photograph discrepancies, and verify against supplier documents.
• Prepare Returned Quality Checklist and Return Summary List; issue Product Deviation Notice for discrepancies.
• Restage cartons according to pack specifications and affix carton labels.
• Update stock received into SAP.
• Support communications with clients via email and obtain approvals when needed.
• Prepare scraping notes and stock for destruction; arrange goods for RTP/INT as required.
• Maintain 5S and good housekeeping; keep leaders informed of issues and deviations.
• Contribute to weekly and monthly reports and participate in cross-functional projects.

Purpose of The Role

The incumbent will be assisting the Leaders in the day to day operation task and to specifically ensure the smooth and efficient running of Return section, encompassing the company quality policies, relevant ISO, GMP, GDP, GCP, GDPMD, clients' and customers' requirements, and regulatory requirements in Zuellig Pharma Malaysia.

What You’ll Do

• Listen to superior and follow instructions carefully. To carry out tasks in accordance to SOPs. To support superior and accept additional responsibilities in a positive manner
• To carry out checking of Return stock, discrepancy to take photo, conduct physical verification versus supplier document and ensure return stock stored at designated area.
• To prepare Returned Quality Checklist, Return Summary List, RCN based to physical stock receive. Any discrepancy to issue Product Deviation Notice and update Leader / Immediate Superior
• Perform restaging of cartons according to pack specification and carton label pasting.
• Update stock received into SAP.
• To support email and seek client approval, if any
• To support prepare scraping note and stock for destruction
• To support prepare goods for RTP / INT , if any
• Keep immediate superior informed at all times of any problems or incidents occurring in the work place and reductions in unplanned deviations and focuses on improving right first time.
• To ensure that the safety of people, stocks, infrastructure and equipment is observed at all times.
• Reports to Leaders / Manager on departmental issues, non-conformities, and accomplishments. Ensures there are prompt and effective communication both internally and externally to keep all interested parties informed proactively. This includes but not limited to superiors, subordinates, colleagues, principals and customers.
• Attends, participates, cross-functional meetings when needed. Supports and participates in cross-functional projects when assigned/appropriate.
• Ensures and maintains good housekeeping and 5S.
• To support prepare weekly and monthly report
• Performs other duties as assigned when required.

Must-Have

• 1-3 years of experience and knowledge of warehousing operations

• Good understanding of customer deliverables and the impact of failure / cost of poor quality
• Good planning skills and able to meet targets and deadlines.
• Knowledge of company operations and procedures
• Multitasking and able to work under pressure with tight deadlines and be available after normal business hours to get job done.
