This role involves managing and maintaining project documentation, translating project-related documents between Mandarin, English and Bahasa Malaysia, and acting as a communication bridge between Chinese counterparts project managers and local employees. You will coordinate document submissions, approvals and information flow between internal departments, consultants, contractors, suppliers and clients, while ensuring confidentiality, accuracy and proper version control of all project documents and records.
Key responsibilities
- Manage and maintain project documentation, including filing, tracking, updating and distributing project records to ensure proper document control and compliance
- Translate project-related documents including correspondence, reports, safety notices, meeting minutes, procedures and technical documents
- Act as a communication bridge between China counterparts project managers and local employees, facilitating accurate day-to-day communication and smooth coordination between project teams
- Coordinate document submissions, approvals and information flow between internal departments, consultants, contractors, suppliers and clients
- Prepare, organise and maintain project reports, records and document registers to ensure information is up-to-date and easily accessible
- Assist in arranging meetings, preparing meeting materials, recording minutes and following up on action items when required
- Support administrative and operational coordination matters, including accommodation arrangements, transportation coordination and onboarding-related documentation
- Ensure confidentiality, accuracy and proper version control of all project documents and records
Skillsets Required
- Diploma or Bachelor's Degree holder with at least 2–3 years of relevant working experience
- Proficient in written and spoken Mandarin due to liaising with China counterparts clients & project managers related , English and Bahasa Malaysia
- Experience in translation, document control, project coordination or administrative support is preferred
- Prior experience in the construction, engineering or data centre industry is an added advantage
- Basic knowledge of construction, engineering, M&E or project management is an added advantage
- Ability to understand construction drawings, technical terminology and site-related documentation will be an added advantage
- Good computer skills with familiarity in Microsoft Word, Excel and PowerPoint
- Strong communication and coordination skills, particularly when dealing with Chinese counterparts project managers and local employees
- Strong sense of responsibility with a proactive and adaptable working attitude
- Good problem-solving and organisational skills
