CHINA STATE CONSTRUCTION ENGINEERING (M) SDN BHD is seeking an administrative professional to handle daily project office operations, including supplies, printing, filing, and general coordination.
The role involves managing attendance records, visitors, and project documentation, supporting meetings, and coordinating with head office, suppliers, and subcontractors to ensure timely and accurate documentation.
Handle daily administrative operations at the project office, including office supplies, document printing, filing, and general office coordination.
Manage staff attendance records, overtime records, duty arrangements, and project accommodation and welfare matters.
Receive and register visitors, documents, and correspondence from head office, suppliers, subcontractors, and other external parties.
Assist in organising project meetings, including weekly and monthly meetings, and prepare meeting minutes and records.
Maintain project administrative files, employee records, company documents, and other project-related documentation.
Assist the Project Manager with administrative tasks, coordination, follow-up, and communication as required.
Collect, prepare, organise, and maintain construction documentation throughout the project lifecycle.
Handle construction submission and inspection documents, including inspection requests, quality inspection records, concealed work inspection records, inspection lot documents, and other relevant records.
Coordinate with technical and site teams to ensure documentation is properly prepared, submitted, and updated in line with actual site progress.
Assist in preparing documentation for project inspections, testing, handover, and completion, including as-built and handover documents.
Maintain and update project documentation systems and digital platforms used for construction document management.
Follow up with subcontractors on document submissions, document review, and stamping requirements.
Provide supporting documentation to the commercial and cost control teams for variation orders, inspections, quantity verification, and project settlement.
REQUIREMENTS
Diploma/Degree in Business Administration, Engineering, or related field.
Previous experience in construction administration or construction document control will be an advantage.
Strong organizational skills and attention to detail.
Ability to work independently and follow up with coordination with multiple stakeholders.
