Job summary

Mega Air Travel (M) Sdn Bhd in Kuala Lumpur is seeking an On-Site Tour Coordinator to manage corporate and incentive travel programmes. You will plan itineraries, coordinate hotels, transport, and other suppliers, and ensure all tour arrangements are documented.

You will support tour leaders and clients during group movements, handle last-minute changes, liaise with overseas partners to deliver seamless programmes, and maintain accurate records and budgets.

Plan and coordinate corporate and incentive travel programmes.

Prepare detailed itineraries, rooming lists, flight information and operational documents.

Coordinate hotels, restaurants, transportation, guides, activities and other suppliers.

Ensure all tour arrangements are confirmed and properly documented.

Conduct pre-tour checks to identify potential operational issues.

On-Site Tour Coordination

Coordinate with overseas suppliers and local partners before and during programmes.

Support tour leaders and clients during group movements.

Handle last-minute changes, unexpected situations and operational issues.

Ensure activities, meals, transfers and events are delivered according to the agreed programme.

Travel overseas when required to support large or important groups.

Communicate with corporate clients regarding operational requirements.

Liaise with overseas DMCs, hotels, restaurants, transport companies and activity providers.

Request quotations and negotiate operational costs where required.

Follow up on confirmations, deposits, deadlines and cancellations.

Maintain good working relationships with suppliers.

Documentation & Administration

Prepare tour files, vouchers, manifests, rooming lists and operational checklists.

Maintain accurate records of bookings and supplier confirmations.

Monitor tour budgets and operational expenses.

Prepare final tour costing and reconciliation.

Ensure all documents are completed before and after each programme.

Team Support

Work closely with Sales and Business Development teams to turn proposals into executable programmes.

Provide operational input during itinerary development and quotation preparation.

Support the team in developing new destinations, activities and supplier contacts.

Assist with RFPs and corporate travel proposals when required.

  • Conduct pre-tour checks and on-site coordination when required.
  • Ensure every programme is delivered smoothly, professionally and within budget.
