Qualifications

• Bachelor’s degree in Business, Supply Chain, Logistics, Operations or related field.
• 2+ years in logistics, order management, warehouse coordination or sales support; ERP/WMS/CRM systems preferred.
• Proficiency in English; additional languages an advantage.

Position Title: Supply Chain & Operations Specialist

Role Summary

The Supply Chain & Operations Specialist is responsible for overseeing end-to-end supply chain execution, inventory and warehouse management, logistics and distribution, systems ownership, quality management, and operations fulfilment. This role ensures efficient operational processes, timely delivery performance, inventory accuracy, and strong cross-functional collaboration to support business objectives, customer satisfaction, and continuous improvement.

Key Responsibilities

1. Supply Chain Execution

• Ensure all Purchase Requisition (PR) to Purchase Order (PO) transactions are properly validated and managed within the Syspro system.
• Monitor supplier performance through regular follow-ups and delivery tracking to ensure timely and accurate supply of goods and materials.
• Support efficient procurement and replenishment activities to meet operational requirements.

2. Inventory & Warehouse Management

• Coordinate Incoming Quality Control (IQC) and Outgoing Quality Control (OQC) activities to ensure product quality standards are maintained.
• Oversee warehouse operations including picking, packing, and dispatch processes.
• Maintain strong stock control practices, including cycle counts and inventory accuracy monitoring.
• Ensure efficient storage, handling, and movement of inventory within the warehouse.

3. Logistics & Distribution

• Manage shipment preparation and ensure all required shipping documentation is complete and accurate.
• Coordinate freight arrangements with logistics providers to ensure cost-effective and timely distribution.

4. Systems Ownership

• Act as key user and owner of operational systems, including:
• Syspro: core ERP management and DIFOT KPI monitoring
• ARAS: change management understanding and application
• RMA Agent: management of service parts and returns
• Ensure system data accuracy, process compliance, and effective use of systems to support operational performance.
• Drive continuous improvement in systems utilization and reporting.

5. Quality Management (QMS)

• Ensure adherence to established processes, quality standards, and work instructions.
• Provide oversight of quality control activities across operations.
• Support and promote compliance with Quality Management System (QMS) requirements.
• Identify and address quality issues in collaboration with relevant stakeholders.

6. Operations Fulfilment

• Oversee customer and internal order fulfilment to ensure service level expectations are achieved.
• Coordinate third-party kitting support as required to meet operational and customer needs.
• Ensure fulfilment activities are executed accurately, efficiently, and on schedule.

7. Cross-Functional Collaboration

• Work closely with internal teams and external partners to support product launches, promotions, and seasonal demand surges.
• Coordinate logistics planning and additional capacity requirements to ensure operational readiness during peak periods.
• Foster strong collaboration across departments to improve responsiveness and service performance.

Required qualifications

• Education: Bachelor’s degree in Business, Supply Chain, Logistics, Operations or related field (or equivalent experience).
• Experience: 2+ years in logistics, order management, warehouse coordination or sales support; experience with ERP/WMS/CRM systems preferred.
• Language: Proficiency in English; additional language(s) an advantage.

• Excellent communication skills (written and verbal) and customer-facing experience.
• Proficiency with Microsoft Office (Excel, Word); experience with ERPs (SAP, Oracle, Microsoft Dynamics, NetSuite) and CRM tools (Salesforce, HubSpot) is a plus.

• Strong knowledge of export/import documentation and customs procedures.
