Pro Office Technology is seeking an experienced Senior PMO Executive to join our PMO team in Malaysia. You will support governance, planning, monitoring, reporting, documentation, risk management, performance tracking, and stakeholder coordination across the organization's projects.
The role requires a Bachelor’s degree and at least 3 years in PMO or project coordination, with strong Microsoft Office skills and the ability to travel for meetings.

We are looking for an experienced, organised, and detail-oriented Senior PMO Executive to join our Project Management Office (PMO) Team.
The role will support project governance, planning, monitoring, reporting, documentation, risk management, performance tracking, and stakeholder coordination across the organisation’s projects.
Support project planning, coordination, implementation, and completion.
Assist Project Managers in developing project plans, schedules, milestones, and deliverables.
Monitor project progress against approved schedules, objectives, and KPIs.
Track project milestones, deadlines, dependencies, deliverables, and outstanding actions.
Ensure projects follow established PMO processes, standards, templates, and governance requirements.
Identify project delays, gaps, risks, and issues and elevate them accordingly.
Prepare project status reports, dashboards, progress reports, and management updates.
Consolidate project information from different departments and project teams.
Maintain project plans, meeting minutes, action lists, progress reports, and project records.
Maintain project risk and issue registers and monitor mitigation actions.
Coordinate communication between Project Managers, HODs, clients, vendors, contractors, and internal teams.
Monitor project KPIs and analyse project performance.
Identify recurring issues and recommend process improvements.
Support post-project reviews and lessons-learned activities.
Assist in developing and improving PMO tools, templates, processes, and reporting mechanisms.
Support the PMO Team in monitoring multiple projects simultaneously.
Bachelor’s Degree in Project Management, Business Administration, Management, Engineering, Information Technology, Computer Science, or a related field.
Minimum 3 years of relevant experience in Project Management, PMO, project coordination, or a related role.
Experience managing or coordinating multiple projects is an advantage.
Strong knowledge of project planning, monitoring, reporting, and documentation.
Good understanding of project management methodologies and governance practices.
Strong analytical, problem-solving, organisational, and coordination skills.
Excellent communication and stakeholder management skills.
Strong proficiency in Microsoft Office, especially Excel, Word, and PowerPoint.
Familiarity with project management tools or systems is an advantage.
Able to manage multiple priorities and meet tight deadlines.
Able to work independently and collaboratively with cross-functional teams.
Willing to travel for project meetings, site visits, or business activities when required.
