Job summary

Kobay Technology Bhd. seeks a procurement professional in Penang to manage supplier engagements, negotiate contracts, and ensure end-to-end spend visibility within a global manufacturing group.

You will coordinate with cross‑functional teams, maintain supplier data, and drive cost efficiencies while ensuring compliance and timely delivery across the value chain.

Qualifications

• Diploma or Bachelor's Degree in Supply Chain Management, Business Administration, or a related field.
• At least 2-3 years of working experience in procurement, supply chain, or purchasing-related roles.
• Proficient in Chinese (spoken and written) to liaise with Chinese-speaking suppliers and stakeholders.
• Strong negotiation and communication skills.
• Good knowledge of sourcing and procurement techniques.
• Familiarity with procurement software or ERP systems (e.g. SAP, Oracle, etc.) is an added advantage.
• Able to work independently and manage multiple priorities under tight deadlines.

Responsibilities

• Manage project-based new supplier engagement, including contract preparation, pricing negotiation, and supplier assessment.
• Oversee end-to-end spend visibility by preparing and analyzing quarterly procurement spend reports for cost monitoring and management review.
• Maintain a monthly claim tracker with proper approvals, recording, and archiving.
• Negotiate Purchase Order terms and conditions to ensure commercial clarity, compliance, and risk control.
• Ensure end-to-end supply chain in XERM, with manual integration from SAP, WMS, and MES.
• Manage supplier relationships and drive continuous improvement for cost efficiency and delivery reliability.
• Manage the Approved Vendor List (AVL) including onboarding status and spend levels.
• Coordinate with stakeholders to resolve operational procurement issues with minimal business impact.
• Identify procurement risks and compliance issues and report to management for resolution.
• Conduct quarterly business reviews.
• Manage daily PR and PO listing and status tracking for visibility and control.
• Daily PO status tracking.
• Receive and validate Customer POs and convert to Sales Orders.
• Map MES Work Orders to corresponding SO numbers and verify pricing/quantity before SO creation.

Job description

Manage project-based new supplier engagement, including contract preparation, pricing negotiation, and supplier assessment.

Oversee overall end-to-end spend visibility by preparing and analyzing quarterly procurement spend reports for cost monitoring and management review.

Maintain a monthly claim tracker, ensuring all supporting documents are properly approved, recorded, and archived.

Project base Purchase Order (PO) terms and conditions negotiation to ensure commercial clarity, compliance, and risk control.

Ensure end-to-end supply chain (material, manufacturing, logistic) route in XERM system, with manual integration of relevant information from SAP, WMS, and MES.

Manage project-based supplier relationships and performance, driving continuous improvement initiatives to enhance cost efficiency, delivery reliability, payment terms, and supplier capability development.

Manage the Approved Vendor List (AVL), including monitoring supplier onboarding status; sourcing origin and spend levels.

Manage and resolve operational procurement issues by coordinating with relevant stakeholders to minimal impact on business operations.

Identify high-level procurement risks, operational concerns, or compliance issues and report them to relevant management personnel for resolution.

Quarterly business review.

Manage daily Purchase Requisition (PR) and Purchase Order (PO) listing and status tracking to ensure visibility, control, and timely follow-up.

Daily PO status tracker.

Receipt and validation of Customer Purchase Orders (PO).

Conversion of Customer PO into Sales Orders (SO).

Identification and mapping of MES Work Orders to corresponding SO numbers.

Verification of pricing and quantity alignment prior to SO creation.

Requirements

Diploma or Bachelor's Degree in Supply Chain Management, Business Administration, or a related field.
