Universiti Teknologi PETRONAS, Ipoh, Perak, is seeking a capable administrator to analyse, plan, and execute tasks for the Centre for Foundation Studies (CFS). You will support course administration, lecturer workload planning, and student forecasting to ensure smooth delivery of academic programmes.
The role also encompasses planning registrations and examination reporting, maintaining student records, and supporting audit and accreditation activities in line with UAC and Senate requirements.

Analyse, plan, execute and support the tasks for Centre for foundation studies (CFS) by executing programme's administration, registration and examination reporting, student record management, audit and accreditation compliance as well as administration support to ensure compliance to the requirements as stipulated by the University Academic Committee (UAC) and University Senate.
Analyse, plan and execute course administration by (i) preparing the course schedule inclusive of lecturers, labs and tutorials, (ii) planning lecturer timetable and workload, and (iii) conducting student forecasting to determine class size to ensure the smooth delivery of sustainable superior academic programmes.
Plan and execute the planning for registration and examination by preparing insightful reports related to student registration, courses offered, student result and number of student graduates to update university management such as the University Examination Committee (UEC) on the administration status for registration, examination and graduation.
Execute the management of student records by performing audit activity and verification to ensure student records are up-to-date, easily accessible and readily retrievable for the benefit of all relevant stakeholders across the University.
Execute and support audit & accreditation compliance for MQA by (i) assisting lecturers to prepare audit documents, (ii) coordinating the preparation of programme reports, (iii) arranging logistics for the audit exercise, and (iv) supporting the overall audit activities in order to preserve the quality of the university with respect to compliance of work activities against establish processes, standard operating procedures (SOP), policies, guidelines and other external requirements (Programme Accreditation - Self accreditation).
Execute and support departmental administration by (i) executing procedures and work instruction related to teaching and learning, (ii) updating academic documents inclusive of the website and handbook, (iii) arranging departmental meetings, (iv) preparing budgets and manpower planning, (v) executing departmental purchases and (vi) processing departmental invoices from vendors in order to ensure all operations of the department are in accordance to stipulate requirements as approved by the management and senate.
