Job summary

R Pharmacy in Malaysia is seeking a proactive Project Coordinator to coordinate and support new outlet openings, renovations, and setup activities, ensuring timely completion. You will liaise with landlords, contractors, vendors, mall management, and authorities to keep tenancy and renovation work on track.

Qualifications

• Diploma or Degree in Business Administration, Operations Management or a related field.
• Minimum 2-4 years of relevant experience in retail operations, project coordination, business development, or facilities management
• Good understanding of retail outlet setup, renovation, maintenance, and project coordination
• Experience dealing with contractors, vendors, landlords, mall management, and regulatory authorities is an added advantage
• Experience liaising with government authorities and local councils, such as DBKL and Majlis Perbandaran, is an added advantage
• Proficient in Google Workspace (Docs, Sheets, Slides) and/or Microsoft Office
• Strong coordination, communication, negotiation, and problem-solving skills
• Detail-oriented, proactive, organised, and able to manage multiple projects and deadlines simultaneously
• A team player with a positive attitude, strong sense of responsibility, and willingness to take initiative
• Willing to travel to retail outlets and conduct site visits when required
• Possess a valid driving license and owning transportation is an added advantage

Responsibilities

• Coordinate and support new outlet openings, renovations, and setup activities to ensure smooth and timely completion

• Conduct site surveys and feasibility studies for potential new outlets and business opportunities
• Manage project timelines and budgets (CAPEX & Revenue), monitor progress, and ensure all work meets required quality and safety standards
• Oversee maintenance and repair works for existing outlets, including lighting, air-conditioning, pest control, fire safety systems, and other facilities
• Ensure all licenses, permits, and regulatory documents are valid, properly maintained, and renewed promptly
• Assist in the procurement and tracking of fixtures, fittings, equipment, and operational supplies for new and existing outlets
• Conduct site inspections, identify defects, and follow up with contractors and vendors to ensure timely rectification
• Support Management in executing ad-hoc projects, assignments, and operational initiatives to achieve business objectives
