Job summary

Carro in Puchong South is hiring a Retail Admin Executive to support loan processing and day-to-day operations in Retail Operations. You will manage administrative tasks, vehicle inventory, and ensure accurate documentation for financing.

The role requires a diploma or degree in business/management, 1–2 years of admin experience, and proficiency in MS Office. Fresh graduates are welcome; training is provided.

Qualifications

• Diploma or Bachelor's Degree in Business Administration, Management, or related field.
• 1–2 years of administrative experience, preferably in automotive/banking/financing.
• Experience with loan documentation or financing processes is an added advantage.
• Proficient in Microsoft Office (Excel, Word, Outlook).
• Strong organizational skills and attention to detail; able to multitask and meet deadlines.

Responsibilities

• Update daily vehicle stock records and monitor car movements.
• Manage inventory records, stock lists, and central filing system.
• Coordinate PUSPAKOM inspections and document preparation.
• Handle incoming vehicle keys and documents with accurate tracking.
• Prepare stock check reports and maintain inventory records.
• Provide admin support to Sales, including test drive preparation within SLA.
• Generate insurance quotations, invoices, and bank submission documentation.
• Submit loan applications and conduct CTOS checks; prepare Finance Credit Service Agreements.
• Follow up with banks on loan status and financing requirements.
• Liaise with Sales Advisor on financing requirements and pending documents.
• Ensure accuracy of records and timely data entry.

Retail Admin Executive (Loan Process & Operations) - Puchong South

Join our Retail Operations team and play a key role in supporting Sales and Operations. You will be responsible for managing administrative, inventory, vehicle movement, loan documentation, and financing processes while ensuring accuracy and timely completion.

What you’ll be doing

Update daily vehicle stock records and monitor car movements accurately.

Manage inventory records, stock lists, and maintain the central filing system.

Coordinate and arrange PUSPAKOM inspections (B2, B5, B7), including document and vehicle preparation.

Handle incoming vehicle keys and documents, ensuring accurate tracking and location updates.

Prepare stock check reports and maintain accurate inventory records.

Provide administrative support to the Sales team, including preparing vehicle keys for test drives within SLA.

Generate insurance quotations, invoices, and ensure complete documentation before bank submission.

Coordinate with internal teams and runners for grant printing, courier arrangements, manual e-Hak requests, and related documentation.

Submit loan applications to banks or credit service providers, conduct CTOS checks, and prepare Finance Credit Service Agreements.

Follow up with banks and related parties on loan application status and ensure timely processing.

Liaise with Sales Advisor (Product Genius) on loan applications, pending documents, and financing requirements.

Ensure all administrative records, documentation, and data entries are accurate and completed within the required timeline.

Perform other administrative or operational duties assigned by the Manager or Supervisor.

Requirements

Candidates must possess at least a Diploma or Bachelor's Degree in Business Administration, Management, or a related field.

Minimum 1–2 years of administrative experience, preferably in the automotive, banking, or financing industry.

Experience in handling loan documentation, financing processes, or vehicle inventory administration is an added advantage.

Good knowledge of Microsoft Office (Excel, Word, and Outlook).

Strong organizational skills with high attention to detail and accuracy.

Able to multitask, prioritize work, and meet deadlines in a fast-paced environment.

Good communication and interpersonal skills.

Able to work independently as well as collaboratively within a team.

Familiarity with PUSPAKOM, vehicle registration, or e-Hak processes will be an added advantage.
