Job summary

CODETRACE Sdn Bhd is seeking a Purchasing Executive to secure the right components for automation projects, at the best cost and on time. You will collaborate with engineering and project teams, source robotics parts, sensors and controllers, and manage suppliers through quotations to delivery.

You will coordinate procurement activities, issue POs, track orders, monitor stock and support logistics, while seeking cost savings and ensuring procurement records are ISO-compliant and aligned with ERP

Responsibilities

• Source materials, components, equipment and services for automation projects and company operations
• Identify, evaluate and negotiate with suppliers on price, quality, delivery and payment terms
• Request and compare quotations, and prepare cost comparisons for management approval
• Monitor supplier performance, run periodic evaluations, and resolve issues such as late deliveries or defective materials
• Purchasing & project coordination
• Prepare and issue Purchase Orders in line with approved requests and company procedures
• Procure according to engineering drawings, BOMs and project schedules, and flag delays or risks early
• Coordinate urgent or critical purchases to prevent project disruptions
• Follow up on order confirmations, delivery schedules and shipment tracking
• Monitor stock levels of critical components and consumables, and work with the warehouse team on incoming deliveries
• Support shipping, freight forwarding and customs documentation when required
• Keep purchases within project budgets and find cost savings through negotiation, alternative sourcing and bulk buying
• Track price changes and report potential cost impacts to management
• Documentation, compliance & improvement
• Maintain accurate records of quotations, POs, contracts and deliveries for audit and ISO compliance
• Prepare procurement reports, including purchase summaries, supplier performance and cost analysis
• Work with Finance to make sure invoices and payments are processed correctly
• Help improve procurement workflows and support the rollout of ERP or purchasing systems

About the role

As our Purchasing Executive, you will make sure every project gets the right components, at the right cost, on time. You’ll work closely with our engineering and project teams to source everything from robotics parts, sensors and controllers to mechanical components, and you’ll manage suppliers from first quotation through to delivery.

What you’ll do
