Job summary

A&L POOL SERVICES SDN BHD is seeking a Purchasing/Admin assistant to manage supplier orders, issue POs, and track deliveries. The role involves stock control, data entry, and coordinating import/export shipments for timely project site deliveries.

Fresh graduates are welcome. The candidate should be fluent in English and Mandarin, be well organized, and capable of maintaining detailed records and schedules in a fast-paced environment.

Responsibilities

• Manage system order material and issue Purchase Orders to suppliers.
• Follow up with suppliers on material orders.
• Stock take to ensure quantities and condition of items in warehouse.
• Enter Delivery Orders (DO) into the system and keep records updated.
• Track status of orders and ensure timely delivery to warehouse and project sites.
• Ensure invoices are sent to accounts for payment and filing DOs and invoices.
• Maintain detailed records and well-organised schedules.
• Coordinate import/export shipments and deliveries.
• Monitor inventory and write orders to refill stock.
• Update records of purchased products.
• Carry out other tasks as requested by Senior Management.

Job description

Managing system order material and Issue Purchase Order (PO) to suppliers and ask quotation from suppliers.

Follow up with supplier of material ordered.

Stock taking of the quantities and condition of items held in a warehouse and key in data.

Key in Delivery Order (DO) in system to always be updated.

Track the status of any orders.

Ensure that any invoices are sent to accounts for payment.

Filing Deliver Order and Invoice.

Keeping detailed records and maintaining well‐organised work schedules

Prepare, issue and track orders and ensure timely delivery to warehouse and project sites

Monitoring inventory and writing orders to refill stock.

Updating all records of purchased products.

Coordination of import/export shipment and deliveries.

Carry out any other job tasks / assignments as and when requested by Senior Management
