We are seeking a Purchase Executive to join our procurement team at Home Peanut Garden Food Industries Sdn Bhd. This role covers the full purchasing cycle — from sourcing and supplier coordination to import documentation and compliance — with exposure to international procurement, food safety certification (ISO/HACCP/Halal), and regulatory submissions. You will work closely with our Manager, forwarding agents, QA team, and Finance department, who provide guidance and support on the more technical and compliance-related aspects of the role. This is a well-rounded opportunity for someone looking to build broad experience across purchasing, import trade, and compliance documentation.
Key responsibilities
Source and evaluate suppliers to secure quality materials at competitive prices, primarily working with supplier contacts introduced by Management, with some independent sourcing for new supplier opportunities
Prepare and issue purchase orders, ensuring specifications, quantities, and delivery schedules are clearly communicated
Negotiate terms and pricing with suppliers to secure the best value for the company
Coordinate with internal departments (Warehouse, Production) to understand material requirements and timelines
Monitor supplier performance, follow up on orders, and resolve delivery, quantity, or quality issues promptly
Maintain accurate procurement records, monthly purchase analysis, and stock reports
Coordinate import shipments and liaise with our appointed forwarding agent on cargo declaration and clearance processes
Prepare import-related documentation required for customs clearance and delivery scheduling
Plan and arrange transportation for incoming deliveries
Submit the company's SST filing via MySST on the 15th of every odd month (Jan/Mar/May/Jul/Sep/Nov), based on figures prepared and provided by the Finance department, and return confirmation to Finance for payment processing
Submit monthly Palm Oil reports to MPOB by the 5th of each month, as well as per-transaction submissions as required, and manage the annual MPOB license renewal
Ensure purchasing activities align with ISO and HACCP requirements, working with the QA team for guidance on food safety compliance standards
Match delivery orders and invoices received from the warehouse, perform preliminary price verification, and submit to the Manager for confirmation
Key in verified purchase transactions into the SQL system and hand over to the Accounts team for payment arrangement
What we're looking for
Minimum of 2-3 years' experience in a purchasing or procurement role, preferably within the manufacturing or food production industry
Basic understanding of import procedures and working with forwarding agents is an advantage — guidance will be provided
Proficiency in SQL or similar procurement/accounting software, and Microsoft Excel
Strong negotiation and communication skills with the ability to build effective relationships with suppliers and internal stakeholders
Excellent attention to detail and organisational skills to manage multiple purchase orders simultaneously
Knowledge of supply chain management and inventory control principles
A proactive approach to problem-solving with the ability to work independently and as part of a team
Comfortable working with regulatory deadlines and documentation (training provided for SST/MPOB submission processes)
Fluency in English and Malay (written and spoken); Mandarin is an advantage
Proactive, able to work independently and collaboratively across departments
Any relevant qualifications in procurement, supply chain management, or business administration are advantageous
