Home Peanut Garden Food Industries Sdn Bhd is seeking an Export Sales Support Assistant to streamline export operations across Sales, Production, Purchasing, and Warehouse. You will support the Export Manager with documentation, quality compliance, shipment coordination, and customer service for international customers.

The role involves ensuring HACCP/ISO 22000 awareness, labeling compliance, stock monitoring, and preparation of various export documents.

Qualifications

• Diploma or Degree in a related field.
• Fresh graduates welcome; 1–3 years in export admin or sales support is a plus.
• Familiarity with export docs, shipping, and customs is an advantage; training provided.
• Basic food safety knowledge is an advantage; training provided.
• Proficient in Microsoft Office.
• Good communication in English and Mandarin.

Responsibilities

• Coordinate export documentation and shipments with Sales, Production, Purchasing, and Warehouse.
• Maintain export-related records, including QC, labeling, and ISO 22000 documentation.
• Assist Export Manager in monitoring stock levels and preparing requisitions.
• Prepare shipping documents and ensure compliance with trade regulations.
• Support export customer accounts, samples, and lab testing sampling.
• Assist with exhibitions, trade fairs, and promotional activities.
• Prepare monthly sales handling fee reports and related documentation.

Export Sales Support Assistant

We are seeking an Export Sales Support Assistant to join our Export team at Home Peanut Garden Food Industries Sdn Bhd. This role is responsible for streamlining export operations by coordinating closely with the Sales, Production, Purchasing, and Warehouse departments. You will support the Export Manager across documentation, quality compliance, shipment coordination, and customer service — helping to ensure a seamless experience for our international customers.

Key Responsibilities

• Maintain awareness of HACCP, GMP, Halal, and ISO 22000 requirements, and ensure compliance with applicable food safety and quality standards
• Verify product stickers and ensure export product labelling complies with customer and regulatory requirements, including for Taiwan export products
• Assist the Export Manager in monitoring raw material and packaging stock levels to prevent shortages or overstocking
• Prepare material requisitions and coordinate purchase requests when replenishment is required
• Maintain and update export-related documentation, including: Export QC inspection records; product labelling in line with importing country regulations; export documentation; ISO 22000 documentation; and annual product traceability records/activities
• Prepare, review, and maintain shipping documents in compliance with export procedures, foreign trade regulations, customs clearance requirements, and code classifications
• Assist in maintaining export customer account records, commission records, and related documentation
• Assist in preparing samples for internal and external laboratory testing and inspections of raw materials, packaging, cartons, and finished products
• Conduct internal laboratory analyses, including pH, moisture, peeling, blanching, aflatoxin, and swab testing
• Prepare samples for external laboratory analysis as required
• Assist in coordinating export operations by preparing job sheets, product descriptions, and required internal/external documentation
• Liaise with the Production Planning department to confirm product readiness and coordinate shipment schedules
• Monitor export order progress and provide timely updates via Export communication channels
• Assist in booking shipments to meet customer delivery requirements
• Support sales activities through lead generation, customer follow-up, and coordination with internal departments
• Assist the Export Manager in planning, coordinating, and executing exhibitions, trade fairs, and promotional activities
• Prepare, record, and submit monthly sales handling fee reports before the 15th of each month
• Assist with printing product stickers as needed

What We're Looking For

• Diploma or Degree in Food Science, Business Administration, International Trade, or a related field
• Fresh graduates are welcome to apply; 1–3 years of experience in export administration, sales support, or a related role is an advantage, especially within a food manufacturing background
• Familiarity with export documentation, shipping, and customs procedures is an advantage — full training will be provided
• Basic understanding of food safety standards (HACCP, ISO 22000, Halal) is an advantage — training will be provided
• No prior laboratory experience required — full training will be provided for internal testing procedures (pH, moisture, peeling, blanching, aflatoxin, swab testing)
• Proficient in Microsoft Office applications
• Strong attention to detail and organizational skills, with the ability to manage documentation accurately under deadlines
• Good communication skills in English and Mandarin required, for liaising with export customers and stakeholders (including Taiwan market)
• A proactive, service-oriented approach with the ability to coordinate effectively across departments
