Job summary

Conexus Studio Pte Ltd. is seeking a Project Coordinator for our Malaysia office to drive project planning and execution across Southeast Asia. You will coordinate activities from initial planning to handover, liaise with construction teams, and ensure safety and quality standards are met.

The role requires 2–4 years in Commercial Fit-Out and strong organizational and communication skills to manage multiple projects with stakeholders.

Qualifications

• 2–4 years' experience in Commercial Fit-Out.
• Proficient in Microsoft Office, including Project Planner.
• Excellent organisational and coordination skills.
• Strong interpersonal and communication skills with stakeholders.
• Ability to prioritise and manage pressure.
• Highly organized with ability to manage several projects simultaneously.

Responsibilities

• Plan and coordinate project activities from planning to handover.
• Develop and maintain detailed project plans, timelines, and schedules.
• Prepare and manage site documentation (HSE forms, surveys, progress reports).
• Liaise with BMO, subcontractors, and construction teams to ensure smooth site progression.
• Inspect and verify completed work against drawings; ensure quality and safety.
• Report project progress, updates, discrepancies to stakeholders.
• Identify risks with CM/PM and assist contingency plans.
• Apply design and construction knowledge to support execution.
• Enforce safety policies and regulatory compliance.
• Undertake additional duties as directed.

We're looking for a talented Project Coordinator to join our Malaysia office as we continue growing across Southeast Asia. This role is ideal for someone with strong organizational and leadership abilities, a proactive approach to project execution, and the passion for delivering impactful results across various initiatives.

What you'll be doing:

• Plan and coordinate project activities from initial planning to final completion and handover to the client.
• Develop and maintain a detailed project plan, timeline, and schedule in collaboration with the Construction Manager (CM) or Project Manager (PM), ensuring timely completion with necessary adjustments.
• Prepare and manage site documentation, including HSE forms, Pre-Construction Survey reports, Weekly Progress Reports, and Contractor Weekly Meeting records.
• Liaise and coordinate with the Building Management Office (BMO), subcontractors, and construction teams to ensure smooth site progression and effective collaboration.
• Inspect and verify completed work against approved drawings, ensuring compliance with quality standards, safety regulations, and building codes.
• Communicate and report project progress, updates, discrepancies, and key information to all stakeholders while maintaining accurate records.
• Inform and address potential risks with CM/PM and assist to develop contingency plans to minimize the impact of any issues.
• Think and provide creative and innovative solutions to problems that arise during the project and engage in structured discussions with the CM/PM before execution.
• Learn and apply technical aspects of design, engineering principles, and construction methods to support project execution and ensure compliance with industry standards.
• Enforce and monitor company safety policies, site safety protocols, and regulatory compliance always.
• Carry out other duties, activities as maybe directed by the Company from time to time, either through its management or the employee’s direct report superior.

Requirement:

• 2 - 4 years' experience in Commercial Fit-Out
• Proficient in Microsoft Office Applications, including Project Planner.
• Excellent in organisational and coordination skills
• Strong interpersonal and communication skills with the ability to collaborate effectively with diverse stakeholders
• Ability to prioritize and manage pressure.
• Highly organized and capable of managing several projects simultaneously.
