Job summary

ASF Food & Beverage (M) Sdn Bhd is seeking an Operations Assistant to support the end-to-end purchasing process, supplier communications, and import/export activities from Malaysia. You will help ensure accurate PO documentation and stock movements with cross-functional teams.

The role involves coordinating with Finance, Production, Warehouse, and Sales to maintain smooth information flow and timely reports, while maintaining proper records for audits.

Responsibilities

• Assist in preparation, processing and monitoring of Purchase Orders (PO) and ensure purchasing information is accurate and properly documented.
• Liaise and communicate with suppliers regarding quotations, purchase orders, order confirmations, delivery schedules, invoices and related matters.
• Assist in coordinating import and export activities, including preparation, checking and filing of shipping documents.
• Liaise with suppliers, customers, freight forwarders and internal departments to coordinate import and export shipments.
• Monitor incoming and outgoing goods and coordinate with Store and Production Departments to ensure stock movements are recorded and documented.
• Maintain records of raw materials, packaging materials and finished goods, including stock receipts, transfers and issues.
• Check received goods against Purchase Orders and delivery documents; report discrepancies, shortages, excesses or damages to the person in charge.
• Assist in stock counts, stock reconciliation and monitoring stock movements as required by the Company.
• Maintain proper filing of purchasing, supplier, import/export and inventory-related documents for record-keeping and audit purposes.
• Coordinate with Finance, Purchasing, Production, Warehouse, Sales and other departments to ensure accurate information flow.
• Prepare records and documentation relating to purchasing, import/export and inventory activities when required.
• Perform other duties as assigned by Management relevant to the position and operations.
