Job SummaryThe Logistics & Purchasing Executive is responsible for coordinating purchasing, import shipments, transportation, and material deliveries for infrastructure, power cable, utility, and TNB-related projects.
This role requires close coordination with local and overseas suppliers, freight forwarders, customs agents, transporters, logistics service providers, warehouse personnel, and project teams to ensure materials and equipment are purchased and delivered safely, accurately, on time, and within budget.
Source materials, equipment, transportation services, and other requirements for project operations.
Request, evaluate, and compare quotations based on price, quality, specifications, delivery schedule, and payment terms.
Negotiate with suppliers and service providers to obtain competitive pricing and favourable commercial terms.
Prepare, issue, and follow up on purchase orders.
Coordinate with local and overseas suppliers on order confirmation, production progress, documentation, shipment, and delivery schedules.
Monitor outstanding purchase orders and expedite deliveries to meet project timelines.
Ensure purchased materials and equipment comply with the required project specifications.
Maintain and update supplier and service provider records.
Monitor suppliers’ pricing, quality, delivery performance, and service standards.
Coordinate import shipments with overseas suppliers, freight forwarders, shipping agents, and customs agents.
Arrange shipment and container bookings where required.
Prepare, collect, and verify import and shipping documents, including commercial invoices, packing lists, bills of lading, delivery orders, certificates of origin, customs documents, and other supporting documents.
Monitor shipments from the supplier’s premises until their arrival at the warehouse or project site.
Coordinate customs clearance and the payment of import duties, taxes, port charges, and other shipment-related expenses.
Ensure import activities comply with applicable Malaysian customs requirements and regulations.
Follow up and resolve shipment delays, incomplete documentation, customs issues, damaged goods, and delivery discrepancies.
Maintain accurate and complete records of all import and shipment transactions.
Plan and arrange transportation for materials and equipment, including:
Supplier-to-warehouse deliveries
Supplier-to-project-site deliveries
Warehouse-to-project-site deliveries
Site-to-site transfers
Special logistics arrangements requested by project teams
Coordinate the delivery of power cables, cable drums, electrical equipment, accessories, machinery, and other construction or project materials.
Arrange suitable transportation, lifting equipment, and material-handling support according to the size, weight, and handling requirements of the materials.
Liaise with transporters, drivers, logistics service providers, warehouse personnel, and site representatives regarding loading, delivery, and unloading arrangements.
Coordinate delivery schedules according to project requirements, site readiness, work programmes, and client requirements.
Track deliveries and provide timely updates to project, warehouse, and management teams.
Ensure heavy or high-value materials are handled, transported, and unloaded safely.
Verify delivery documents, quantities, and the condition of materials upon delivery.
Follow up on shortages, damaged materials, rejected items, incomplete deliveries, and other delivery discrepancies.
Maintain delivery records, including delivery orders, material receiving records, photographs, and other relevant supporting documents.
Prepare and maintain purchase orders, delivery orders, invoices, shipping documents, transportation records, and other procurement-related documents.
Perform accurate data entry and update purchasing, shipment, and delivery information in the company’s system.
Coordinate with the Finance and Accounts Department regarding supplier invoices, statements of account, supporting documents, payment status, and e-invoice matters.
Check documents for completeness and accuracy before submitting invoices for payment processing.
Ensure all procurement and logistics documents are properly organised, filed, and maintained for audit and project-record purposes.
Assist in resolving discrepancies involving purchase orders, invoices, delivery orders, and supplier statements.
Provide logistics and purchasing support to project, warehouse, site, and other internal teams.
Communicate regularly with relevant stakeholders regarding purchase order, shipment, and delivery status.
Respond promptly to urgent project material and transportation requirements.
Assist with stock checks and material verification when required.
Coordinate the return or replacement of damaged, defective, or incorrect materials.
Identify and recommend improvements to purchasing, logistics, documentation, and delivery processes.
Perform any other related duties assigned by Management.
Minimum SPM/STPM, Certificate, Diploma, or Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
At least 1–3 years of relevant experience in purchasing, procurement, logistics, import/export, shipment coordination, transportation, or a related role.
Candidates with experience in the infrastructure, construction, electrical, power cable, utility, substation, solar, or TNB-related industry are strongly encouraged to apply.
Experience handling power cables, cable drums, electrical equipment, heavy materials, or project equipment will be an added advantage.
Familiar with purchasing procedures, purchase orders, delivery orders, invoices, and supplier documentation.
Knowledge of import procedures, shipping documentation, customs clearance, freight forwarding, and transportation coordination is preferred.
Experience coordinating with overseas suppliers, particularly suppliers based in China, will be an added advantage.
Mandarin communication skills are preferred, as the role requires communication with Mandarin-speaking overseas suppliers.
Strong communication, negotiation, problem-solving, and coordination skills.
Possess own transport and be willing to travel to warehouses or project sites when required.
