Job summary

PILOT Construction Sdn. Bhd. is seeking a Procurement Executive to support efficient and compliant sourcing of construction materials, machinery, equipment and services.

You will work with suppliers, project and site teams, Accounts and internal stakeholders to secure purchases, optimise costs and ensure timely delivery. The role requires solid procurement experience, strong supplier evaluation and negotiation skills, and a hands-on approach to documentation, eProcurement systems and three-way

Qualifications

• Bachelor's Degree in Procurement or related field; Diploma with substantial procurement experience also considered.
• At least three (3) years of relevant procurement experience, preferably in construction.
• Familiarity with eProcurement systems and procurement documentation.
• Understanding of supplier evaluation, ethical procurement, anti-bribery practices and conflict of interest management.
• Knowledge of ISO 9001, ISO 14001, ISO 45001 and ISO 37001 is an advantage.
• Proficiency in Microsoft Office, particularly Excel, Word and Outlook; SharePoint/Teams experience an advantage.
• Strong communication, analytical, organisational, negotiation and time-management skills.
• Good command of Bahasa Malaysia and English.
• Willingness to work beyond normal hours and attend project/site activities when required.
• Valid CIDB construction personnel registration is required before construction-site duties.

Responsibilities

• Identify and source suitable suppliers, vendors and service providers.
• Obtain and analyse quotations, negotiate terms and recommend cost-effective options.
• Review and process Material Requisitions for accuracy.
• Conduct supplier evaluations and support onboarding documents.
• Prepare supplier comparison statements and Purchase Orders in line with approved requirements.
• Monitor purchase orders and delivery schedules with suppliers and site teams.
• Maintain supplier relationships and resolve issues with non-conforming materials.
• Update procurement records in the eProcurement system.
• Coordinate three-way matching of POs, Delivery Notes and Invoices with Accounts.
• Identify opportunities for cost savings and improved efficiency.
• Comply with policies and legal requirements.

Job description

As a Procurement Executive, you will support efficient and compliant procurement activities for construction materials, machinery, equipment and services. You will work closely with suppliers, project and site teams, Accounts and internal stakeholders to secure suitable purchases, maintain accurate documentation, optimise costs and ensure timely delivery.

Key responsibilities

• Identify and source suitable suppliers, vendors and service providers.
• Obtain and analyse quotations, negotiate commercial terms within delegated authority and recommend cost-effective purchasing options.
• Review and process Material Requisitions to verify specifications, quantities, material codes, completeness and accuracy.
• Conduct preliminary supplier evaluations, collect onboarding documents and support supplier due diligence.
• Prepare supplier comparison statements and Purchase Orders in line with approved requirements, delegation of authority and procurement procedures.
• Monitor purchase orders and delivery schedules, coordinating with suppliers and project or site teams to follow up on outstanding and urgent deliveries.
• Maintain professional supplier relationships and support the resolution of issues involving defective, damaged, missing, short-delivered or non-conforming materials.
• Maintain accurate procurement records and update transactions in the designated eProcurement system.
• Liaise with the Accounts Department to facilitate three-way matching of Purchase Orders, Delivery Notes and Invoices, and submit supporting documents for processing.
• Identify opportunities for cost savings, alternative sourcing, internal material transfers and improved procurement efficiency.
• Comply with company policies, applicable legal requirements and Integrated Management System requirements.
• Perform other procurement-related duties assigned by the immediate superior or Management.

What we're looking for

• Bachelor's Degree in Procurement, Supply Chain Management, Quantity Surveying, Contract Management, Business Administration or an equivalent field. Candidates with a Diploma and substantial relevant procurement experience may also be considered.
• At least three (3) years of relevant procurement experience, preferably in the construction industry.
• Practical experience in supplier sourcing, quotation evaluation, commercial negotiation, supplier comparison, Purchase Order processing and delivery monitoring.
• Familiarity with eProcurement systems and procurement documentation.
• Understanding of supplier evaluation, ethical procurement, anti-bribery practices and conflict of interest management.
• Knowledge of ISO 9001, ISO 14001, ISO 45001 and ISO 37001 is an advantage.
• Proficiency in Microsoft Office, particularly Excel, Word and Outlook. Knowledge of SharePoint, Teams and other procurement systems is an advantage.
