Smells Good Holdings Sdn Bhd is seeking a detail-oriented Purchasing Executive in Kuala Lumpur to own inventory planning, merchandise sourcing, and purchasing activities. You will collaborate with internal teams and suppliers to maintain stock levels, source quality merchandise for campaigns, and ensure purchases are cost-effective and delivered on time.
You will forecast based on sales data, set SKU min/max, and coordinate rapid, cost-efficient replenishments while protecting key channels.
We are looking for a detail-oriented and proactive Purchasing Executive to take ownership of inventory planning, merchandise sourcing, and purchasing activities. You will work closely with our internal teams and suppliers to maintain healthy stock levels, source quality merchandise for campaigns, and ensure purchases are made at the right cost and delivered on time.
1. Inventory Management
Turn sales data, campaign plans and stock movement into a forecast you can defend.
Set min/max levels per SKU and spot stock-out risks weeks before they happen.
When a stock-out is coming, find the fastest and most cost-effective way to recover: air vs sea freight, split shipments, expedited production slots, or reallocating stock to the channels where it earns the most.
Ration limited stock to protect key channels and campaigns until supply catches up.
Decide what to do with slow movers and dead stock before they tie up cash: bundle, promote, or stop reordering.
Own a weekly stock health report: weeks of cover, risks and actions.
Turn a campaign idea into a gift customers want to keep, from bags and pouches to gift boxes and seasonal sets.
Know your materials, like canvas vs non-woven, PU vs PVC, paper grades and print finishes, and how each one changes cost, feel and durability.
Find where to cut cost without customers noticing: a different material, finish, size or MOQ.
Cost every gift down to landed cost per unit, and know what it does to campaign margin.
Plan backwards from launch dates, so gifts arrive on time even when samples need a second round.
3. Purchasing & Negotiation
Issue and track every PO from order to inbound, and close it in our ERP with the actual received quantity.
Negotiate price, MOQ, payment terms and lead time, and track the savings you deliver.
Push suppliers for our timeline: find out what's really blocking them and solve it, whether that means deposits, split deliveries or pre-booked production slots.
Benchmark every price against past purchases and the market, so we know when we're overpaying.
Score suppliers on lead time, accuracy and quality, and bring that data to every negotiation.
Diploma / Degree in Supply Chain, Business Admin, or related field.
Able to read, type, speak in Mandarin (as we have to deal with China supplier)
1-3 years experience in procurement, logistics, or inventory management (FMCG or retail background preferred).
Strong Excel / Google Sheets skills and good attention to detail.
Good communication and coordination skills — able to liaise across multiple teams.
Fast learner with a strong sense of ownership and accountability.
