Job summary

3cat is seeking a Procurement & Inventory Executive in Malaysia to support the Procurement & Inventory Manager by tracking purchase orders and stock movements from order placement through warehouse receiving, QC and distribution. Responsibilities

• Maintain an accurate tracker for purchase orders, deliveries and stock movements from order placement through to warehouse receiving and distribution.
• Coordinate with suppliers, Finance, forwarders, importers and Warehouse to track outstanding actions and escalate delays.
• Verify received quantities and document delivery status at the correct destination; follow up on partial shipments or discrepancies.
• Keep records and operational reports up to date for planning and escalation by the Procurement & Inventory Manager.
• Identify recurring coordination gaps and suggest simple improvements to tracking and handovers.

As our order volumes and store network grow, we're looking for a Procurement & Inventory Executive to help keep our purchase orders, deliveries and stock movements visible, accurate and moving.

The Role

A purchase order doesn't end when the order is placed.

It needs to be paid. Prepared. Shipped. Received. Checked. And moved to where the stock is needed.

That's where you come in. You'll support our Procurement & Inventory Manager by tracking purchase orders and stock movements from order placement through to warehouse receiving, QC and distribution.

You'll work across suppliers, Finance, logistics providers, Warehouse and stores to follow up on outstanding actions, keep records accurate and make sure everyone knows what needs to happen next.

When an order is delayed, a shipment is incomplete or stock hasn't been acknowledged, you'll help find out what's happening and follow it through.

This is a role for someone who enjoys keeping things organised, follows through consistently and doesn't wait for someone else to notice when something is stuck.

You'll take ownership of:

• Purchase Order & Delivery Tracking: Maintain an accurate tracker covering order placement, payment status, supplier readiness, shipping, expected arrival, warehouse receiving, QC and distribution. Compare planned dates against actual progress and flag delays or incomplete orders early.
• Supplier & Internal Coordination: Follow up with suppliers, Finance, forwarders, importers and Warehouse on outstanding actions. Keep track of what is needed, who owns the next step and when it needs to happen, and escalates delays when necessary.
• Receiving & Delivery Completion: Check that expected quantities are received and recorded at the correct destination. Follow up on partial shipments, missing or damaged items and deliveries awaiting acknowledgement. Ensure store delivery discrepancies are reported and followed through.
• Records & Operational Reporting: Keep order statuses, shipment information, delivery documents and outstanding issues up to date. Give the Procurement & Inventory Manager a reliable view of incoming stock, delayed orders and unresolved discrepancies for planning and escalation.
• Inventory Movement & Follow-Through: Identify stock held up by payment, shipping, receiving, QC or distribution issues and follow up to get it moving. Spot repeated coordination gaps and suggest simple improvements to tracking and handovers.

We're looking for someone who:

• Has approximately 1-3 years of experience in procurement coordination, inventory operations, logistics or a related field .
• Has a basic understanding of purchase orders, shipping, receiving and inventory processes , and is comfortable learning how stock moves through an end-to-end supply process.
• Is strong with trackers and operational records , with excellent attention to detail and the discipline to keep information accurate and up to date.
• Is comfortable following up consistently with suppliers and internal teams , communicating clearly about outstanding actions, deadlines and issues.
• Can manage multiple orders and priorities at the same time , recognise when something isn't progressing as planned and know when to escalator.
