Responsibility
- Handle daily communication, including answering phone calls and liaising with suppliers and relevant parties.
- Maintain digital and physical filing systems, perform data entry, and prepare purchasing and logistics reports.
- Source suppliers, request quotations, compare pricing, and negotiate competitive terms.
- Process purchase requisitions and generate Purchase Orders (PO) through ERP systems.
- Monitor supplier contract terms and ensure purchasing requirements are fulfilled.
- Monitor inventory levels, propose Minimum Order Quantities (MOQ), and align purchasing plans with production or sales forecasts.
- Manage supplier performance, monitor on-time delivery, and resolve non-conforming or defective parts.
- Coordinate with freight forwarders and customs brokers for import and export container arrangements.
- Handle import and export documentation and Malaysian regulatory requirements, including coordination with MITI, MIDA, and Royal Malaysian Customs Department (Kastam).
- Prepare permits, declarations, duty exemption documents, Certificates of Origin, Form D, and other statutory clearance documents.
- Monitor shipping schedules, vessel updates, and transit timelines to prevent delays.
- Prepare and maintain shipping documents, including Bills of Lading, commercial invoices, packing lists, and marine insurance certificates.
- Review freight and transporter quotations to ensure cost-efficient delivery.
- Match goods received against POs and supplier invoices and maintain proper records for reconciliation and audit purposes.
