Qualifications

• Bachelor's degree in HR, Accounting, Finance or related field.
• 2–3 years of payroll processing experience in Malaysia.
• Strong understanding of Malaysian payroll statutes (EPF, SOCSO, EIS, PCB).
• Proficiency in payroll systems and MS Excel (intermediate to advanced).
• Excellent communication in English and Bahasa Malaysia.

Responsibilities

• Process monthly payroll for Malaysia employees with accurate deductions and benefits.
• Manage payroll inputs including new hires, terminations, salary changes, leaves, overtime.
• Verify payroll data for accuracy and compliance before processing.
• Process off-cycle payments, bonuses, commissions and other ad-hoc payments.
• Prepare monthly payroll reports and reconcile payroll accounts with Finance.
• Support year-end tax filings and statutory reporting.

Job description

The Payroll Specialist is responsible for supporting the end-to-end payroll processing for JLL's Malaysia operations, ensuring accurate and timely delivery of payroll services while maintaining compliance with local statutory requirements and company policies.

Key Responsibilities

Payroll Processing & Administration

• Process monthly payroll for Malaysia employees, ensuring accuracy in salary calculations, deductions, allowances and benefits
• Manage payroll inputs including new hires, terminations, salary changes, leaves, overtime and other payroll-related transactions
• Verify and validate payroll data before processing to ensure accuracy and compliance
• Process off-cycle payments, bonuses, commissions and other ad-hoc payments as required
• Maintain accurate employee payroll records and documentation

Compliance & Statutory Requirements

• Ensure compliance with Malaysian statutory requirements including EPF (Employees Provident Fund), SOCSO (Social Security Organization), EIS (Employment Insurance System) and PCB (income tax deductions)
• Prepare and submit monthly statutory contributions and reports within required deadlines
• Support year-end tax filing processes including EA forms and related documentation
• Stay updated on changes to Malaysian payroll legislation and implement necessary adjustments

Reporting & Analytics

• Prepare monthly payroll reports for management review including payroll summaries, cost center reports and variance analysis
• Generate ad-hoc reports to support HR and Finance teams
• Reconcile payroll accounts and liaise with Finance on GL postings and payroll-related queries

Employee Support & Query Resolution

• Respond to employee payroll inquiries professionally and in a timely manner
• Provide guidance on payroll policies, procedures and statutory matters
• Support employees with payslip access and payroll-related system navigation

Process Improvement & System Management

• Identify opportunities to streamline payroll processes and improve efficiency
• Support payroll system upgrades, testing and implementation of new functionality
• Maintain payroll documentation including procedures, guidelines and reference materials

Qualifications & Experience

Required:

• Bachelor's degree in Human Resources, Accounting, Finance or related field
• Minimum 2-3 years of payroll processing experience in Malaysia
• Strong understanding of Malaysian payroll statutory requirements (EPF, SOCSO, EIS, PCB)
• Proficiency in payroll systems and MS Excel (intermediate to advanced level)
• Strong numerical accuracy and attention to detail
• Excellent communication skills in English and Bahasa Malaysia

Preferred:

• Experience with HRIS/payroll systems (Workday, SAP or similar platforms)
• Knowledge of Malaysian Employment Act and labor regulations
• Professional certification in payroll or HR
• High level of accuracy and attention to detail
