Health Management International (Malaysia) Sdn Bhd is seeking a Payroll Shared Services Specialist to manage end-to-end payroll operations for the company. You will ensure accurate payroll processing, handle inputs, approvals and inquiries, and collaborate with HR, Finance, IT, and external vendors.

The role requires a degree and 3–5 years of payroll experience, with strong knowledge of Malaysia payroll rules. Experience with Singapore payroll is a plus.

Qualifications

  • Bachelor's Degree in HR, Accounting, Finance, Business Admin, or related field.
  • Minimum 3–5 years of payroll processing, HR shared services, or payroll operations.
  • Strong knowledge of Malaysia payroll and statutory requirements.
  • Singapore payroll processing experience is an added advantage.
  • Hands-on end-to-end payroll processing including inputs, calculations, claims and validation.
  • Strong analytical and problem-solving skills with attention to detail.
  • Good communication and interpersonal skills with confidentiality.

Responsibilities

  • Manage and execute end-to-end monthly payroll processing accurately and on time.
  • Handle payroll for new hires, exits, salary revisions, bonuses, incentives, allowances, deductions and other adjustments.
  • Validate and process payroll inputs, including attendance, leave, overtime, claims and reimbursements.
  • Ensure compliance with all applicable payroll-related statutory requirements.
  • Prepare and analyse monthly, periodic, and ad-hoc payroll reports for management and stakeholders.
  • Perform payroll reconciliation with payroll accounts, bank statements and general ledger entries with Finance.
  • Act as the primary point of contact for employee payroll-related enquiries.
  • Maintain accurate employee payroll information and timely updates in the payroll/HR system.
  • Manage and process employee claims in line with company policies and ensure timely reimbursements.

Job description

The Payroll Shared Services Specialist is responsible for handling end-to-end payroll operations, ensuring accurate and timely payroll processing across the Company. The role handles payroll inputs, statutory contributions, employee claims, payroll reporting, reconciliations, and employee payroll enquiries. The position also supports payroll system administration, audits, process improvements, and payroll-related projects, while working closely with HR, Finance, IT, statutory authorities, and external vendors to ensure smooth and efficient payroll service delivery.

Key responsibilities

Manage and execute end-to-end monthly payroll processing accurately and within established timelines

Handle payroll-related activities for new hires, employee exits, salary revisions, bonuses, incentives, allowances, deductions, and other payroll adjustments

Validate and process payroll inputs, including attendance, leave, overtime, claims, reimbursements, and other variable payments

Ensure compliance with all applicable payroll-related statutory requirements

Prepare and analyse monthly, periodic, and ad-hoc payroll reports for management and relevant stakeholders

Perform payroll reconciliation, including payroll accounts, bank statements, and general ledger entries, in collaboration with the Finance team

Act as the primary point of contact for employee payroll-related enquiries

Maintain accurate employee payroll information and ensure timely updates in the payroll/HR system

Manage and process employee claims in accordance with company policies and established procedures

Ensure timely reimbursement of approved employee claims

About you

Bachelor's Degree in Human Resources, Accounting, Finance, Business Administration, or a related field

Minimum 3–5 years of relevant experience in payroll processing, HR shared services, or payroll operations

Strong knowledge of Malaysia payroll and statutory requirements

Having experience in Singapore payroll processing and statutory requirements will be an added advantage

Hands‑on experience in end‑to‑end payroll processing, including payroll inputs, statutory calculations, claims, overtime, allowances, deductions, and final payroll validation

Strong analytical and problem‑solving skills with excellent attention to detail

Good communication and interpersonal skills, with the ability to handle employee payroll enquiries professionally

Strong sense of confidentiality and integrity when handling sensitive employee and payroll information
