Job summary

Shopee Malaysia Sdn Bhd is seeking a Payroll Operations Specialist within the People Team to manage end-to-end payroll for allocated portfolios and ensure timely monthly processing.

In this role you will review payroll movements, handle exceptions, prepare cost reports, and ensure compliance with Malaysian statutory requirements such as EPF, SOCSO, EIS, PCB and HRDF, while collaborating with HR Operations, Finance and external payroll vendors.

Qualifications

• 1-2 years of payroll operations experience, preferably with Blue Collar / Foreign Workers.
• Strong understanding of Malaysian payroll legislation and statutory requirements (EPF, SOCSO, EIS, PCB, HRDF).
• Proficient in Excel or Google Sheets for payroll reconciliation, reporting and data analysis.
• Detail-oriented with strong numerical accuracy and ability to manage multiple deadlines.
• Excellent communication and stakeholder management, handling confidential information professionally.

Responsibilities

• Manage end-to-end payroll operations for assigned employee portfolios (Full-Time, Foreign Workers, Fixed-Term Contractors).
• Review and validate payroll movements (new joiners, resignations, contract updates, unpaid leave, backpay, overtime, allowances).
• Handle payroll exceptions and escalations (MIA, early resignations, buyout calculations).
• Prepare monthly payroll costing reports, headcount reconciliation and GL support with cost centre allocation.
• Ensure compliance with Malaysian statutory requirements (EPF, SOCSO, EIS, PCB, HRDF) and support year-end activities.
• Coordinate with HR Operations, HRBPS, Finance and external payroll vendor to ensure data accuracy and timely resolutions.
• Support payroll process improvements, reporting automation and governance initiatives.

Payroll Operations Specialist - People Team

The People team plays a crucial organisational role in Shopee by channeling important resources to key functions in the company. People are key to Shopee’s growth, and as our business expands, so does the need to develop and support our employees.

Job Description:

• Manage end-to-end payroll operations for assigned employee portfolios (Full-Time Employees, Foreign Workers and Fixed-Term Contractors), ensuring timely and accurate monthly payroll processing.
• Review and validate payroll movements, including new joiners, resignations, contract updates, unpaid leave, backpay, overtime, allowances and other variable payroll inputs. Perform payroll reconciliation, variance analysis and draft payroll validation before payroll finalisation and salary disbursement.
• Manage payroll exceptions and escalated cases, including MIA, early resignations, buyout calculations and other payroll-related enquiries.
• Prepare monthly payroll costing reports, headcount reconciliation and Finance reports, including cost centre allocation and General Ledger (GL) support.
• Ensure compliance with Malaysian statutory requirements, including EPF, SOCSO, EIS, PCB and HRDF, and support year-end payroll activities such as EA forms and tax-related submissions.
• Coordinate closely with HR Operations, HRBPS, Finance and external payroll vendor to ensure accurate payroll data and timely issue resolution.
• Support payroll process improvements, reporting automation and governance initiatives to enhance payroll accuracy and operational efficiency.

Requirements:

• Bachelor's Degree in Human Resources, Finance, Business Administration or a related field.
• 1-2 years of experience in managing payroll operations for Blue Collar / Foreign Workers is preferred.
• Good understanding of Malaysian payroll legislation and statutory requirements, including EPF, SOCSO, EIS, PCB and HRDF.
• Strong proficiency in Microsoft Excel or Google Sheets for payroll reconciliation, reporting and data analysis.
• Detail-oriented with strong numerical accuracy and the ability to manage multiple deadlines in a fast-paced environment.
• Strong communication and stakeholder management skills, with the ability to handle confidential information professionally.
