Job summary

Weng Meng Industries Sdn. Bhd. in Malaysia is seeking a payroll officer to verify and coordinate monthly payroll preparation, prepare payroll analyses and statutory reports, and ensure compliance with authorities.

The role includes maintaining employee records, liaising with relevant departments, and overseeing attendance with disciplinary actions where needed. You will support HR administration, contribute to Kaizen initiatives, coordinate labour movements, and assist with budgets and KPI

Responsibilities

• Verify and coordinate monthly payroll preparation.
• Prepare payroll analysis report and statutory reports (bank advice cheque, EPF, SOCSO, EIS, CP39, etc.).
• Prepare monthly Labour Costing Report in line with Payroll Detail Report.
• Verify employee EPF and SOCSO contributions and income tax deductions to authorities.
• Liaise with Labour Department, Industrial Relations Department, EPF, SOCSO, EIS and Income Tax departments.
• Oversee day-to-day attendance and take disciplinary action when necessary.
• Liaise with Labour Department and Occupational Safety and Health Department as required.
• Verify monthly petty cash claims and annual/medical leave against entitlements.
• Prepare monthly medical and employee petty cash claims and expense reports.
• Maintain orderly personnel records and update employee files.
• Inform Department Head on confirmations, terminations, and probation extensions.
• Monitor HR Assistant in general administration tasks (leave, overtime, filing).
• Contribute Kaizen ideas for HR towards departmental objectives.
• Coordinate labour movements (recruitment, termination, promotion, transfer, confirmation).
• Handle grievances and advise employees to improve industrial relations.
• Prepare separation notices, conduct exit interviews, and document procedures.
• Prepare reports and recommend procedures to reduce absenteeism and turnover.
• Represent the organization at personnel-related hearings and investigations.
• Prepare yearly headcount budget and monthly KPI report.
