Elitez Pte Ltd in Kuala Lumpur is seeking a Payroll & HR Administration professional to manage monthly payroll, onboarding, and HR records. You will prepare contracts, update payroll systems, and ensure accurate employee data while responding to enquiries with a professional service mindset.
You will maintain payroll tracking, generate reports, and support government claims and audits, ensuring timely and compliant HR operations for 150–200 employees.
Prepare and process monthly payroll, including all relevant earnings, allowances, deductions and adjustments.
Generate and submit/upload monthly payroll reports and supporting documents to relevant stakeholders, including Management, Finance and Clients.
Respond to and resolve employees’ payroll-related enquiries in a timely and professional manner.
Prepare employment contracts and related documentation for new hires.
Manage the onboarding process, including documentation and payroll system updates.
Maintain accurate and up-to-date employee information in the payroll system, including changes related to confirmation, promotion, re-designation, transfer and resignation.
Maintain and update employee insurance records.
Maintain well-organised employee e-personal files to ensure audit readiness and compliance.
Manage employee offboarding procedures, including the issuance of discharge letters and processing of final salary payments.
Prepare and submit IR21 tax clearance forms for foreign employees.
Prepare and issue HR-related letters, including increment, promotion, termination and performance bonus letters.
Maintain monthly tracking sheets and reports, including Payroll Tracking Excel, Payroll Master List and medical benefits enrolment records.
Upload monthly payroll records, reports and supporting documentation to designated Google Drive folders.
Provide accurate and timely supporting documentation for government claims, audit queries and relevant schemes, including government grants, leave schemes and wage support programmes.
Ensure compliance with established HR service standards, procedures and timelines.
Perform any other HR and administrative duties as assigned by the Supervisor or Management.
Diploma or Degree in Human Resources, Business Administration, or related field
1–2 years of experience in payroll processing or payroll administration.
Ability to work professionally, independently and efficiently with a strong customer service mindset.
Good team player with the ability to collaborate effectively with colleagues.
Strong organizational, follow‑up and time‑management skills with excellent attention to detail.
Good interpersonal and communication skills, with the ability to interact professionally with stakeholders at all levels, both internally and externally.
Strong commitment to accuracy and timely delivery of work.
Experience with WhyzeHR is preferred.
Able to manage payroll processing for a minimum of 150 - 200 employees/headcount.
Proficient in Microsoft Word, Excel and PowerPoint.
