Private Advertiser is seeking an Operations Executive on a contract basis in Penang, Malaysia, to oversee daily operations and ensure accurate ERP data entry for shipments and stock.

Responsibilities

• Act as focal person for day-to-day operations and product delivery to distributors.
• Ensure daily stock transactions are correctly entered in ERP and investigate variances.
• Conduct regular stock reports and spot checks to minimize losses and ensure accuracy of records.
• Verify DO, STO, inbound/outbound records and QC records to ensure proper documentation.
• Ensure cylinders meet NGC specifications and align with production and sales demands.
• Process supplier invoices promptly and coordinate with contractors for payments.

Operations Executive (Contract Position)

• NGCE focal person for the day to day operation and delivery of products to distributors .
• Ensure all daily stock transactions are taken up correctly in ERP system. Monitor daily loss/gain of physical stock that are prepared by the contractor and compare physical stock with ERP stock figure. Any variances are to be investigated.
• Check daily, weekly and monthly stock report by the contractor and detect storage loss if any. To conduct physical stock spot checks.
• Verify sales and production records, including Delivery Orders (DO), Stock Transfer Orders (STO), RCRQ cylinder inbound and outbound records, leaker records, and Quality Check (QC) records, ensuring all transactions are accurately recorded and properly documented.
• To ensure cylinders delivered to the market meets NGC specifications.
• To ensure productivity meets pre-plan and sales demands
• Ensure cheques are entered into the ERP system on time, and physical cheques are collected and handed over to the bank runner in a timely manner.
• Ensure timely submission of LPG subsidy claims to customs on monthly basis.
• Monitor cylinder reconditioning activities and provide weekly and monthly report on cylinder RCRQ performance to Metal Executive.
• Ensure metal pallet checks are performed by the contractor diligently.
• Ensure records of scrapped cylinders are properly managed per the procedures.
• Ensure consumable inventory is effectively monitored, and replenishment plans are implemented to prevent stock shortages.
• Liaise with CSC on customer complaints and check leakers return records from customers and revert back to CSC.
• Ensure all purchases are processed in accordance with CP procedures, and ensure all contractor invoices are processed and submitted promptly for payment.
• Monitor NGC stock in storage and advise Supply Dept on borrow and loan quantity
• Ensure plant OPEX is diligently managed in consultation with HQ
• Liaise with AMs on issues concerning sales and delivery of cylinders to distributors
• Liaise with Cylinder Exchange executive for any cylinder exchanges as needed
• Support other 3rd Party Plant Operation whenever necessary. To perform any other duties assigned from time to time.

KPIs

• Production output meets the production plan.
• 100% on-time and accurate ERP data entry for shipments and payments.
• Zero stock-outs of consumables.
• RCRQ cylinders and metal pallets requiring repair are sent out within the turnaround time or KPI established by the Metal Department.

HSSE

• Ensure operations’ distribution chain is in full compliance to company HSSE rules and guidelines, including local laws and regulations.
• Attend HSSE and operations meeting as and when required.
• Perform spot checks and HSSE Audit on the plant operations and ensure all filling and delivery activities are safely managed
