Poh Wah Machinery & Trading Sdn Bhd is hiring for an Operations Administration Executive to coordinate transport, monitor delivery schedules, and liaise with customers, site personnel and internal teams. You will handle inquiries, provide pre-delivery and after-sales admin support, and process orders and documents in a fast-paced environment.

Role involves managing export documentation, maintaining records, and supporting the Sales Department.

Qualificações

• Strong coordination, communication and organisational skills.
• Proficient in Microsoft Office; Auto Count experience is an advantage.
• Self-motivated with the ability to work independently with minimal supervision.
• Excellent time management and ability to prioritise multiple tasks.
• Responsive to urgent cases after office hours.

Coordinate transport arrangements and monitor delivery schedules to ensure timely deployment of equipment.

Liaise with customers, site personnel and internal teams on site clearance and required documentation.

Handle customer enquiries via email, phone and messaging platforms, providing prompt and professional support.

Provide pre-delivery and after-sales administrative support.

Prepare and process sales orders, delivery orders, commercial invoices, proforma invoices, packing lists and other required documents.

Manage export documentation and ensure all required documents are complete, accurate and properly maintained.

Maintain timely and accurate filing and documentation records.

Maintain up-to-date equipment certifications and related documentation.

Perform data entry and maintain accurate sales and operational records.

Provide general administrative and coordination support to the Sales Department.

Job Requirements

• Minimum 2 years’ experience in logistics, planning, customer service, sales support or a related field.
• Proficient in Microsoft Office and Auto Count is an advantage.
• Strong coordination, communication and organisational skills.
• Able to work effectively in a fast-paced and dynamic environment.
• Responsible, detail-oriented and highly accountable.
• Good time management with the ability to prioritise multiple tasks.
• Self-motivated and able to work independently with minimal supervision.
• Strong follow-up skills and ability to ensure tasks are completed within deadlines.
• Responding to work phone after office hour for urgent cases basis is required

Working Day: 5.5 Days

Taking advantage of the construction boom in the 1980s, we were able to supply used construction equipment to the domestic market as well as to neighboring countries like Malaysia and Indonesia. Specializing mainly in used generators, air compressors and welding machines, we were able to create a niche in the highly competitive used construction equipment market.
