Job summary

Integrated Cold Chain Logistics Sdn. Bhd.(Penang) is seeking an Operation Support Assistant in Transportation to manage bookings, quotations, and cost sheets.

You will input open job entries in the Sovy system, coordinate with planners, and ensure timely communication with customers about truck/container details. You will maintain updated rates with the BD department, prepare accurate cost sheets, and support the sales team with quotations.

Qualifications

• Diploma or higher required; minimum 1–2 years in transport and logistics.
• Familiar with regional transport customer service; cross-border skills a plus.
• Able to work in a fast-paced environment and after-hours/weekends/public holidays.
• Strong problem-solving under pressure.

Job description

The Operation Support Assistant in Transportation division is require to handle Transport inquiry role in ensuring the seamless handling of customer bookings, managing open job entries, creating accurate cost sheets, and overseeing the entire process from quotation to invoice generation. Your responsibilities will encompass maintaining updated rates with BD dept, coordinating with planners, and ensuring timely communication with customers regarding truck/container details. The role requires attention to shipments escalation, strong organizational skills, and the ability to navigate the Sovy system efficiently.

PRIMARY DUTIES AND RESPONSIBILITIES:

1. Handle customer inquiries, providing timely and accurate information regarding bookings, rates, and services.

2. Address customer concerns, issues and requirements during the booking ensuring a high level of customer satisfaction.

3. Open job entries in the Sovy system, inputting relevant details accurately.

4. Coordinate with planners to ensure efficient scheduling of jobs and update the system accordingly.

5. Create detailed and accurate cost sheets for each job entry, including all relevant charges and ad-hoc charges are included

6. Collaborate with different departments to gather cost-related information.

7. Ensure that quotations are available and updated in the system.

8. Work closely with the sales team to provide accurate quotation to customers.

9. Maintain regular communication with planners to stay updated on job status and changes.

10. Update customers promptly with truck/container details after planner updates in the Sovy system.

11. Verify that all relevant details are accurately recorded before closure.

12. Closed Job Entry in sovy system.

13. Performs other related duties as assigned and ad-hoc tasks as per requested by Superior.

Qualification: Diploma and above.

Knowledge/Experience :

i) At least 1-2 years experiences in Transport and Logistics.

ii) Familiarity with regional, Transport Customer Service knowledge, Cross Border skils will be and advantage.

iii) Experience in fast-paced and able to work/follow up even after working hour/weekends/public Holiday.
