You will handle end-to-end documentation, permit renewals, regulatory compliance, ELMS data updates, and external coordination with Immigration and Labour authorities to ensure seamless daily operations with zero penalties.
We are looking for a dedicated and meticulous Foreign Worker Operation Admin to manage our foreign workforce operations efficiently. The ideal candidate will be responsible for end-to-end foreign worker documentation, permit renewals, regulatory compliance, and system updates to ensure seamless daily operations and zero penalties.
Key responsibilities
Manage and monitor the expiry tracking of passports, work permits, FOMEMA medical check-ups, FWCMS, and ePLKS systems.
Lead the entire renewal process proactively to ensure zero penalties and 100% full compliance with Malaysian immigration and labor laws.
Update the latest worker permits and legal documents accurately in both the company system and physical/digital workers' personal files.
Maintain and update real-time worker status in internal system (ELMS) to provide accurate data for management decision-making and strategic planning.
Handle external coordination by visiting government offices (Immigration, Labour Department, etc.), clinics/FOMEMA panels, and client sites as required for operational needs.
Assist with repatriation processes, insurance arrangements (SKHPPA, FWCS, Foreign Worker Compensation Scheme), and general foreign worker welfare documentation.
Maintain proper filing and tracking systems for all regulatory and administrative submissions.
About you
Minimum 1 to 3 years of working experience in handling foreign worker documentation and operations.
Hands-on experience and familiarity with FOMEMA, FWCMS, ePLKS systems, and internal tracking tools (such as ELMS).
Strong knowledge of Malaysian immigration procedures, high attention to detail, proactive problem-solver, and good time management.
Must possess a valid driving license and own transport, and be willing to travel outstation or to government offices, clinics, and client sites when required.
Proficient in Bahasa Malaysia and English.
