Responsibilities
  • Handle the opening and closing of vendor and dealer accounts in coordination with relevant departments.
  • Maintain an updated database of vendors, dealers, and service providers.
  • Liaise with vendors for quotations, agreements, deliveries, and issue resolution.
  • Monitor vendor performance, delivery timelines, and ensure compliance with company requirements.
  • Work closely with the Finance Department on marketing budget tracking, invoice processing, and payment follow-ups.
  • Prepare payment requests, verify supporting documents, and ensure accuracy in billing details.
  • Monitor marketing expenses and maintain budget utilization reports.
  • Assist in budget planning or forecasts when required.
  • Maintain and organize all marketing-related documentation, including Sales Order, quotations, PO, invoices, contracts, and approvals.
  • Ensure proper filing (digital and hardcopy) for audit and internal reference.
  • Provide support for marketing events, exhibitions, and campaigns.
  • Coordinate material deliveries, venue bookings, and internal approvals.
  • Assist in compiling post-event reports, photos, and expense summaries.
  • Liaise with internal departments for approvals, payments, and compliance matters.
  • Support the Marketing Manager and team with day-to-day administrative tasks.
  • Handle departmental correspondence and scheduling as needed.
  • Monitor office supplies related to marketing operations.
  • Assist with staff claims, travel arrangements, and other marketing-related logistics.
  • Ensure smooth administrative workflow within the marketing team.
  • Other ad hoc tasks as assigned by superior.
Requirements
