Job summary

A leading materials company in Penang is seeking a Logistics Coordinator to manage daily shipments and shipping documentation. The ideal candidate will have a Bachelor's degree and at least 3 years of experience in logistics or supply chain operations. Responsibilities include handling customs declarations, liaising with freight forwarders, and maintaining shipment reports. This position requires strong organizational skills and attention to detail, particularly in document handling and inventory management.

Qualifications

Responsibilities

  • Handle daily outgoing shipments for local and export deliveries.
  • Prepare accurate shipping documents including invoices and delivery orders.

Job description

Handle daily outgoing shipments for both local transfers and export deliveries.

Prepare accurate and complete shipping documents, including Invoices, Delivery Orders (D/O), and shipping labels.

Manage customs declarations and documentation, such as Form K1, K2, K9, and attend to custom when needed

Provide support in preparing and submitting applications for customs exemption lists, license renewals to Customs, or permits to MITI

Liaise with freight forwarders to coordinate and arrange shipment bookings.

Send shipment pre-alert emails to customers to ensure smooth delivery coordination.

Prepare and maintain shipment reports for internal tracking and analysis.

Perform proper filing and archiving of all shipping documents for compliance and easy retrieval.

Ensure that shipping label inventory is well-stocked to support ongoing shipment activities.

Generate shipping labels upon request from the Production team to support timely dispatch.

Prepare shipment billing for Saturday shipments (in the absence of Finance personnel).

Maintain daily truck records and coordinate delivery schedules for drivers

Operations & Workplace Management

Support the implementation and maintenance of the 5S workplace organization methodology to ensure a clean, efficient, and safe working environment.

Participate in occasional Saturday work shifts on a rotational basis (eligible for overtime), ensuring weekend shipment coverage.

Additional Duties

Carry out other logistics-related tasks and assignments as directed by superiors or management.

Key Requirements
  • Experience in shipping, logistics coordination, or supply chain operations would be preferrable.
  • Knowledge of customs documentation and exemptions is an advantage.
  • Organizational skills with attention to detail in document handling and inventory management.
  • Proficiency in basic office tools (Microsoft Excel, email systems).
  • Team player willing to support weekend operations when required.
