Qualifications

  • Diploma or Degree in Information Technology, Computer Science, Computer Engineering or related field.
  • Minimum 5 years of IT support, systems and network administration experience.
  • Experience maintaining desktops and laptops, user administration, basic networking and server/backup exposure.
  • Knowledge of server backup, user management, licenses, and IT security.
  • Strong troubleshooting, communication and organisational skills.
  • Ability to work independently and provide timely IT support across multiple offices.

Job description

The IT Officer is responsible for managing and providing reliable and effective information technology support across Global Environment Centre (GEC) HQ and field offices in Malaysia, currently GEC has approximately 50 staffs on its’ current payroll. This role will manage day-to-day IT operations and provide technical support to GEC staff, while working in coordination with external IT service providers for specialised, complex or escalated technical requirements.

The role covers the maintenance, administration, security and troubleshooting of computer hardware, servers, networks, email systems and software, as well as the management of IT assets, user access, backups and related documentation. The IT Officer will also provide guidance to GEC staff on IT requirements and usage and ensure that appropriate documentation and procedures are maintained to support continuity of IT operations.

Key responsibilities
1. End-User Hardware Support
  • Guiding the purchase and set up of laptops, desktops, servers and other IT equipment that is suitable for GEC operations.
  • To maintain, troubleshoot and support desktop computers and laptops.
  • Install, configure and maintain computer hardware, including for desktop, laptops and the headquarters server.
  • Manage hardware assets and ensure that equipment remains functional and fit for purpose.
  • Provide technical assistance to users on hardware-related issues.
2. Hardware and Software Licence Management
  • Monitor and manage hardware warranties and software licenses associated with supported systems and equipment.
  • Support the installation, configuration and maintenance of approved hardware and software.
  • Maintain appropriate records of hardware and software assets, licenses and warranties where required.
  • Monitor renewal and replacement requirements of relevant IT assets and licenses.
3. Server Administration and Maintenance
  • Support the day-to-day administration and maintenance of GEC's servers and related infrastructure.
  • Carry out backups and monitoring of servers, including onsite and offsite backups, as required.
  • To monitor server performance; availability and storage capacity
  • Troubleshoot server-related issues and escalate significant risks or failures to GEC management and/or external support provider
  • To elevate any significant technical risks, failures or infrastructure issues to GEC management and/or external support provider
  • Assist with testing and restoration of backups and support basic disaster recovery requirements
4. Network, Firewall and Router Management
  • Maintain and manage routers, firewalls and network infrastructure within scope of role.
  • Support the security, reliability and performance of GEC’s internet and network systems.
  • Maintain and support Local Area Network (LAN) and Wide Area Network (WAN) infrastructure.
  • Troubleshoot connectivity, network access and internet-related problems.
  • Monitor and report network-related issues and coordinate with external service provider where specialist intervention is required
  • Support basic network security and access control measures
5. Email System Administration
  • Support the administration and maintenance of GEC's email systems and related user accounts.
  • Create, configure, modify and deactivate user accounts and access permissions as required.
  • Assist users with email configuration, access and troubleshooting issues.
  • Coordinate with external service providers where required to resolve email or account-related issues.
  • Maintain appropriate user access and account records
6. IT Security and Data Protection
  • Support the implementation of basic IT security measures across GEC's systems and devices.
  • Ensure that supported hardware and software are appropriately updated and maintained.
  • Support user access management and appropriate security practices.
  • Monitor and report potential IT security issues to GEC management and/or external IT service providers
  • Assist with cybersecurity awareness and basic IT security guidance for staff.
  • Support appropriate backup and data protection practices.
7. General and Ad Hoc IT Services
  • Provide other IT support services GEC HQ and field offices as required.
  • Respond to operational IT issues in a timely and professional manner.
  • Provide advice on IT maintenance, security, hardware, software and network-related matters.
  • Provide technical support for GEC projects, activities and events where required.
  • Coordinate with external IT service providers and other vendors on IT-related matters.
  • Maintain appropriate documentation relating to IT systems, equipment, licences, user access and service providers.
  • Perform other IT-related duties as assigned by management.
About you
  • Diploma or Degree in Information Technology, Computer Science, Computer Engineering, or related field
  • Minimum 5 years of relevant experience in IT support, systems and network administration or a related IT infrastructure role
  • Proven experience in maintaining desktop computers and laptops, troubleshooting technical issues, user administration, basic networking knowledge and server/backup exposure
  • Knowledge of server backup, user management, hardware and software licence management, and IT security
  • Strong troubleshooting, problem-solving, communication, and organisational skills
  • Ability to work independently and provide timely IT support to staff across multiple offices
  • Willingness to provide on-site and ad hoc IT support when required
  • Experience in supporting IT systems in small to medium-size organisations will be an advantage
  • Organised in documentation skills and with good communication and customer-service skills with preferred ability in explaining technical matters in layman terms.
